Job Description
United States Agency for International Development (USAID) has selected EDC to implement the USAID Let’s Read Project, a 5-year, $48.9 million project in the five target provinces of Eastern, Muchinga, Southern, Northwestern and Western Zambia that works to improve reading outcomes for approximately 1.4 million children attending pre-primary (kindergarten) through to Grades 3 and provide professional development for teachers to support reading interventions in Zambian public and community schools. EDC is currently hiring for the Administrative Assistant position for the USAID Let’s Read Project.
The Administrative Assistant provides support to all project activities including word processing, meeting coordination, scheduling, travel arrangements, answering phones, greeting office visitors, and other administrative tasks in support of the office as needed and/or required. The Administrative Assistant will effectively interact with a diverse staff, engage as a member of a team, accept feedback, troubleshoot questions or problems and seek help, supervision and support as needed. This position reports to the Office Manager and will be located in Lusaka, Zambia. .

Essential functions include, but are not limited to the following:
• Provides administrative support to ensure efficient operation of office.
• Answers phone calls, schedules meetings and supports visitors.
• Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
• Manage front office operations including answering telephone and greeting guests
• Makes travel arrangements for staff and STTAS such as booking flights, cars, and hotel or restaurant reservations.
• Supports team by performing tasks related to organization and strong communication
. • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
• Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
• Under supervision, maintain office inventory files
• Apply organizational terms, procedures, systems, and policies; and
• Other duties, as assigned.

Qualifications
Minimum Academic/Professional Requirement:
The candidate for the position shall have at a minimum, the following qualifications:
•Diploma or higher in Business Administration, Management Studies, Secretarial or any related field;
•Grade 12 Certificate.
Skills and Experience:
•3 years experience working in administration and finance;
•Proficiency in 3 or more computer applications, including word processing and data base management, strong skills in MS Excel highly desired;
•Detail-oriented and organized with strong organizational and analytical skills;
•Excellent written and oral communications skills;
•Ability to work hands-on, independently, and within team in difficult work environment;
•Must be able to work within a cross cultural setting, negotiate diplomatically, and function well under pressure;
Language:
Fluency in English is required. Knowledge of (and proficiency in) Chinyanja, Chitonga, Silozi, Lunda, Luvale, Kiikaonde and Icibemba languages highly preferred.
