Kids Alive Zambia (KAZ) seeks to recruit a qualified individual to join our Senior Management Team in Zambia as Senior Manager, Human Resources and Safeguarding
Purpose of the role
The individual will carry out several responsibilities in Human Resource Management and Safeguarding and his/her efforts will make a positive contribution towards our organization’s Christian ethos and witness.
Reporting to the Country Director, the he/she will be responsible for the overall management and implementationof Kids Alive Zambia’s Human Resources Policies, Procedures, Guidelines and Tools, and be accountable for ensuring that an optimum Safeguarding environment is maintained throughout KAZ, and that the standards and all legislative and policy requirements for the safeguarding of children and the working environment are met.S/he will work with the Heads of Departments and Senior Leadership Team to ensure that organizational HR policies and procedures are adapted to the specific context of each situation, adequate and known to staff. He/shewill ensure effective training of staff and facilitate development and implementation of appropriate HR management responses including plans and procedures that fit KAZ policy and standards. S/he will provide expert HR advice to all levels of KAZ staff working in Zambia. He/she will be responsible for the selection and hiring of the staff and leading the overall HR functions including work- force planning, recruitment, staff administration management, staff development and maintenance of discipline. He/she will also be encouraged to participate in other departmental activities, including team meetings, continuing education activities, annual conferences, and research activities. The suitable person for this role will be one who will demonstrate strong Christian values and leadership in an environment where children and staff need to be led to christ. .

Major Responsibilities of the Role
HR Strategic Planning
• Set up the HR department and provide management oversight and leadership. Develop an HR strategy for the country program which is in line with the organizations, regional, and global goals and objectives.
• Develop and implement manpower planning processes helping the new/existing programs/projects have the needed staff with the right competence on time
Hiring & Recruitment
• Oversee full-cycle recruitment processes and directly recruit senior-level positions; Employ traditional sourcing strategies, actively network and employ innovative, creative recruiting methods to hire the best talent
• Facilitate and coordinate recruitment and selection processes that are consistent with KAZ policies and procedures; set in place the recruitment team as appropriate;
• Coordinate recruitments and orientations/transition of both new/ transferring staff. Review job position requests to ensure that they in line with the Organisation Structure; review job descriptions and make recommendations, ensuring accuracy and consistency
• Coordinate vacancy posting in internal and external media as appropriate.
• Coordinate interviews and provide inter outcome summary
• Ensure the tracking system of the recruitment process and compile monthly report on recruitment are maintained. Review all job offers and contracts and ensure internal equity
HR Administration & Compliance
• Co-lead implementation for KAZ Policies and Procedures
• Oversee HR-related administrative duties and ensure they are compliant with existing legal and government reporting requirements
• Ensure KAZ is in compliance with all labor laws, and minimization of legal exposure. • Ensure the Human Resource Employee handbooks are developed and in place; Review of policies and procedures, making recommendations and ensure they are up to date
• Ensure that an up-to date Human Resource and Information System (HRIS) and filing system is maintained
• Monitor and coordinate staff contract management.
• Lead exit management procedure to ensure seamless and positive transition for departing employees
• Serve as an ambassador and champion for KAZ standards for professional Code of Conduct; escalate code of conduct to the Country Director and Regional Head Human Resources for additional support and to ensure that an issue is resolved and appropriate follow-up is carried out
• On an as needed basis liaise with the local legal counsel on HR issues that requires legal interpretations
Compensation & Benefits Management
• In partnership with the Country Director, define and review salary structure and benefits plans and communicate changes or updates
• Facilitate administration of staff benefits and compensation as stipulated in the HR policies
• When possible, ensure the budgeting and implementation of an HR payroll system is in place
• Ensure the process of the monthly HR payroll documentation on timely basis ensuring completeness and accurate documentation
• Ensure that all exiting staff clearance forms are submitted before final dues are processed.
• In collaboration with the finance team, ensure all staff are properly oriented and trained on the completion and submission of monthly TimeSheets
Performance Management
• Lead the performance management process including creating a plan to manage annual reviews, conduct training on goal-setting, utilize budgets to organize development activities and work one-on-one with managers and employees
• Coordinate and ensure timely completion of the annual performance evaluation process.
• Coordinate and ensure timely completion of the annual merit plan process
Employee Relations & Discipline
• Lead all employee relations with professional grace; lead investigations to resolve issues/conflict in the workplace with close collaboration with respective Heads of Departments
• Act as an impartial mediator in disciplinary procedures and ensure it is administered in an equitable and fair manner and meets all legal and labor regulations and requirements
• Maintain an effective negotiation process and harmonious employee/employer relationship
• Advise supervisors in determining appropriate disciplinary plans of action
HR Team Management
• Serve as the primary source of HR knowledge in response to employee and/or supervisor requests, be well versed with KAZ HR Policies, and provide weekly, monthly and quarterly HR metrics as required
• Ensure all Generalist HR activities are carried-out in adherence to these standards
• Work with the Senior Management team to determine workforce needs, identify human resource and competency gaps, and devise a development and workforce plan to facilitate nationalizing roles and staff retention
• Manage, train, mentor HR team; create detailed plan to build capacity for every HR staff, including performance objectives, recruitment and commitment to development
• Ensure that the HR team is working in a harmonized manner with consistency among application of policy throughout all offices, and identify and implement mechanisms to ensure cooperation, communication and teamwork
Staff Care • Develop supportive plans of action for staff care as part of KAZ strategy, ensuring a comprehensive approach to support the well-being of staff and foster a positive working environment. Recommendations in this plan should address actionable activities and advice to support the morale and the social, physical, and psychological well-being of staff.
• Conduct assessments for staff care needs in all operational sites, when needed.
• Work to actively engage in building trust with staff at all levels and in all roles.
• Utilize various methods to understand the support needs, concerns, and stress levels of staff, and advise management through regular consultation on how to better meet the needs of staff to minimize any issues.
HR Information and Reports
• Spearhead internal staff communications, team-building and employee engagement activities
• Coordinate all HR report (weekly, monthly, and quarterly) preparations.
• Submit all HR reports on time.
Safeguarding
• Play a leading role in the continued development of KAZ’s approach tosafeguardingto ensure that all allegations are taken seriously; that there are serious consequences for those who carry our these abuses; and to promote a safe environment in which all are responsible for challenging abuse and exploitation.
• Manage all training requirements concerning safeguarding for KAZ staff. This will include but is not exhaustive of identifying training/learning needs, sourcing providers, preparing resources and ensuring all required training remains indate.
• Ensuring that all concerns relating to poor practice/potential abuse against children both internal and external reported to the organisation are responded to and managed appropriately and efficiently – including recordskeeping
• Represent the organisation at all external meetings related to child protection
• Coordinate dissemination of policy, procedures and resources throughout the organisation, ensuring that as an organisation KAZ are compliant with any changes inlegislation.
• Lead role in delivering and reviewing KAZ Implementation Plan for safeguarding and protecting children
• Ensure that the national ‘Standards for Safeguarding Children are met through working with the relevant organizations and other partners to ensure appropriate planning and implementation of the organization’s safeguarding plan which can be evidenced, evaluated and reviewed internally and by external audit asrequired.
• Ensure ‘Standards’ are maintained once they have beenachieved
• Keep up to date with own knowledge andskills
• Act as KAZ central contact point for any concerns regarding safeguarding. This includes the manning of a dedicated phone line for the reporting of and safeguarding concerns
• Providing a high quality resource of professional advice, guidance and expertise in safeguarding practice to staff in the team and throughout
• Lead the caseload work and maintain a high level of practice and development of the teams’ professional skills
• Develop the safeguarding expertise and manage the safeguarding practice by dealing expeditiously (in collaboration with the Trauma Care Team) with cases of trauma, sexual abuse and perpetrators of such vices both internal and external


Essential Skills and Abilities
• Demonstrated success as an HR generalist supporting employees in multiple locations
• Demonstrated ability to identify, recommend and implement best practice approaches that safeguard and deliver rapid, consistent, high-quality HR management and service provision in an environment which works toward the wellbeing of children
• Proven abilities to understand crucial legal matters and processes, and where necessary effectively work with local legal counsel and government departments (Ministry of Labor, Immigration, Police etc)
• Strong collaborator with effective interpersonal and analytical skills who is able to work seamlessly across teams
• Demonstrated ability to work, manage, and meet competing deadlines in a somewhat fastpaced, high volume environment
• Superb written and verbal communication skills required.
• Capable of managing conflict and conflicting views.
• Good knowledge of HRIS systems
• Fluency in English and local languages

• Strong Christian with unquestionable religious disposition.

Qualification and Experience
• Bachelor’s Degree in Human Resources, Law or related fields
• Membership of the ZIHRM with a valid practicing license
• At least 6 years of experience in human resources management in an environment where the care and development of children is involved
• Experience in organizations that support the development and safeguarding of children would be a definite advantage
