JOB DETAILS:
Job Purpose:
• An Information Management (IM) Officer is sought to manage the large volume of data and information produced by {TESS+}. The role will analyse the existing information management tools and services, make recommendations for optimization/improvement and lead the implementation of selected solutions. Further,the {TESS+} IM Officer will collect, analyse and disseminate information to support decision-making, capacity strengthening and awareness of {TESS+} work and related SCS guidance amongst stakeholders.
• The {TESS+} IM Officer is hosted by the WFP Technology Division (TEC), and will establish strong relationships with United Nations Security Management System (UNSMS) stakeholders at the field, regional and corporate HQ levels. The officer will be a member of the {TESS+} core service team and fall under the supervision of the {TESS+} Senior Programme Manager.

Accountabilities/Responsibilities:
1. Under the supervision of the {TESS+} Senior Programme Manager, provide information and knowledgement management support to {TESS+} and maintain accountability for the following deliverables, including but not limited to:
2. Manage data across all aspects of {TESS+}’s work areas in close coordination with other members of the {TESS+} core service team, including ensuring that key metrics are captured for reporting and to support decision-making.
3. Analyse the existing information management system and structure in use by {TESS+}, propose solution(s) and lead the implementation of selected improvements.
4. Lead the development of requirement specifications, propose options, and oversee implementation of a Customer Relationship Management (CRM) system to manage the large volume of country-specific data produced by {TESS+}. Lead data migration to the CRM system should the decision to proceed be confirmed.
5. Support to standardize and execute quality control of {TESS+} data, assessments, and activity reports, including ensuring readability and consistency across {TESS+} reports, presentations, training material, standards documentation and other IM products.
6. Support to translate {TESS+} materials into languages other than English, in particular French, Spanish, and Arabic.
7. Liaise with {TESS+} partners, when appropriate, to collate and disseminate information pertaining to {TESS+} activities.
8. Manage information updates on the {TESS+} website, monitor website engagement statistics, insights, and propose improvements. WordPress skills would be beneficial.
9. Manage information updates to the {TESS+} Public Library and {TESS+} Restricted Library online repositories. Propose ways to better present information to {TESS+} stakeholders.
10. Facilitate {TESS+} online trainings, including online meeting administration, creation of online quizzes and issuance of {TESS+} certificates.
11. Facilitate the establishment, moderation, and maintenance of the various {TESS+} mailing lists. Review options and propose a pathway to migrate away from Google groups to another service for management of {TESS+} mailing lists.
12. Contribute to internal and external communications related to {TESS+} such as newsletter, social media, stories, articles etc.
13. Coordinate the population and data analysis of the SCS Country Scorecard which are a key monitoring tool of in-country SCS status.
14. Monitor and respond to queries in the {TESS+} mailbox in coordination with members of the {TESS+} core service team.
15. Design and develop user satisfaction surveys, analyse the results and produce comprehensive reports to be shared with relevant stakeholders.
16. Document lessons learned for {TESS+} projects and initiatives.

Deliverables {Tess+}:
1. Put in place an information management structure that facilitates backend management while maximising stakeholder access to the information in the various {TESS+} repositories.
2. Create impactful IM products that translate technical information into simple and user-friendly formats.
3. Contribute to the preparation of a proposal to implement a CRM system to manage {TESS+} engagements, and support the CRM project delivery including data migration, as necessary.
4. Analyse SCS Country Scorecard data and work with collaborators on the creation of a scorecard database system, possibly linked to the proposed CRM initiative.
5. Ensure the {TESS+} website is up to date at all times.
6. Conduct detailed review of {TESS+} training materials to ensure quality and consistency.
7. Remotely support planning and delivery of {TESS+} regional trainings.
8. Propose options to migrate away from Google groups to another service to manage {TESS+} mailing lists. Manage migration of {TESS+} mailing lists to the new service, and inform impacted stakeholders as necessary.
9. Prepare and issue {TESS+} training and webinar certificates.

Qualifications & Experience Required:
Education:
Advanced university degree in Information Management or Journalism, Business Management , Data Science, or another relevant field, or First University degree with additional years of related work experience and/or training/courses.
Experience:
• 5+ years international experience in information management.
• Experience leading multi-functional and cross-geographic teams and/or projects.
• Worked in a UN/NGO context with cross-geographic teams and/or projects.
• Experience working with remote teams.
• Practical project management experience.

Knowledge & Skills:
• Ability to meet deadlines and work under pressure as part of a team.
• Good communication skills; excellent written and analytical skills.
• Excellent analytical, conceptual, and reporting skills, with a demonstrated ability to research, draft and clear concise information products or analyses.
• Ability to recognise the sensitivity of information obtained and respect the confidential nature of sources of information where relevant.
• Ability to turn operational information, data and statistics into compelling, easy to read infographics, charts and other visualizations to support monitoring and tracking efforts.
• Knowledge of humanitarian operations, methods, and systems.
• Proficiency in data analysis and software such as MS Suite (Word, Excel, PowerPoint, Forms, Publisher, Teams), CRM solutions, CMS (WordPress), Zoom.
• Experience in data management and analysis, coordination, and reporting.
• Knowledge or interest of design or graphic software is an advantage.
• Willingness to work in challenging contexts, and travel if required.
• Ability to self-manage workload and work remotely.

Languages:
• Fluency in oral and written English with an intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages) is desirable.
