About HFZ
The Healthcare Federation of Zambia (HFZ) is a formally registered and overarching private sector association mandated to coordinate the private health sector, promote public-private engagement, and collaborate with the other actors in the health system to optimise the private health sector’s contribution to attaining national health outcomes. Specifically, the HFZ has been established to:

Optimise the private sector’s contribution to delivering health services and products through a well-coordinated engagement with the government and all relevant stakeholders,
Promote strategic public-private partnerships for the attainment of universal health coverage and
Provide alternative solutions to challenges facing the Zambian health sector.
Members of the HFZ include Associations of private healthcare businesses, Associations of health professionals, Corporate Entities, Institutions of learning and Consultancy firms, individual healthcare entities, and NGOs working in the health sector.

Purpose
To enhance communication and interaction with its members and stakeholders, HFZ relies on different online platforms, namely its website and social media. The website is key in sharing information about the activities of the Federation. It is a platform for Members to access resources and information relating to the healthcare market in Zambia. Therefore, a well-maintained website with high uptime is key to the operations of HFZ.

Scope
HFZ seeks website maintenance services to ensure the website is up-to-date, running smoothly, and performing optimally. The tasks will include but may not be limited to;
ensure all the links on the site are working, and fix any broken links.
regularly updating content,
monitoring of web traffic and sharing analytics to management
ensuring that the website is secure
maintaining the social media accounts (e.g., Facebook timeline cover, profile pictures, and blog layout)
Responsibility of HFZ

The HFZ will assign a person to work closely with the vendor and help generate content for the website and social media platforms.
HFZ will also provide timely review feedback on updated content.
Requirements

Individuals/firms with the following skills and experience will be considered.
Minimum three years experience in Information Technology and web project management.
Knowledge of web design and development, networking protocols, and general web programming languages.
Strong familiarity with content management systems (WordPress) and web technologies
Familiar with Social Media applications.
Ability to prioritise and complete multiple tasks without direct supervision, working both independently and with a team.
Good interpersonal and teamwork skills.

Performance Metrics
The Service Provider shall ensure a response time of 48 hours for critical website issues.
Content updates shall be conducted weekly to ensure fresh and relevant material.
A target of a consistent 30% increase in web traffic shall be achieved within the first 3 months.

Social Media Strategy
Focus on LinkedIn, Twitter, and Facebook because they align with our target audience demographics.
Content creation shall encompass posts, stories, pictures, and videos aimed at engaging and expanding our follower base on all social media platforms.
Engagement goals are set to increase the number of likes, shares, comments, or followers by over 20,000 in the next 3 months

Communication and Reporting
Regular communication shall be maintained through e-mails to the designated e-mail and contact person.
Monthly performance reports shall be submitted by the 30th of every month.
Quarterly strategy review meetings shall be scheduled to assess and re-design our approach.
The use of analytics tools for performance tracking and strategy formulation is mandatory.
Data-driven insights shall be presented in each strategy review meeting.
Service Level Agreement (SLA)

This agreement outlines the minimum standards of service and the remedies for failure to meet these standards.

Feedback and Revision Cycle
A bi-monthly feedback session will be conducted to evaluate content and service effectiveness.
The strategy shall be reviewed and potentially revised every [specific time, i.e., month end].
Engagement and Payment Modalities

The anticipated duration of the engagement is a long-term agreement to be issued for a period of one year and may be extended for an additional one year based on the satisfactory performance of the service provider. The provider is expected to provide a minimum of 10 hours per month of website and social media maintenance and administration. The service provider will submit a monthly per month.
