ChildFund Zambia is an International Non Governmental Child Protection and Sponsorship Organization that exists to help the deprived, excluded and vulnerable children have the capacity to improve their lives and the opportunity to become young adult, parents and leaders who bring lasting and positive change in their communities. ChildFund Zambia wishes to invite qualified individuals to apply for the following position.
Job Title: Procurement Officer
Role Purpose: Oversee procurement functions and provide guidance on procurement activities to achieve vendor sourcing for high quality goods and services for ChildFund Country Office .

Responsibilities
• Responsible for all procurements both goods and services and make sure these are in accordance with local laws and donor requirements.
• Conduct Market pricing as and when needed.
• Compile procurement plans which are approved and remind all departments to submit their requirements on a quarterly basis.
• Ensure all vendor requirements are met including anti-terrorism vetting for new vendors.
• Recommend changes in local procedures, where necessary.
• Meet with vendor representatives and promote ChildFund business ethics.
• Oversee required and long term vendor contracts.
• Oversee Sealed Bid Processes for Country Director’s approval.
• Prepares procurement memos and issues to concerned internal and external contacts.
• Respond adequately and timely to audit queries.
• Send weekly procurement status reports with all concerned internally.
• Produce an annual procurement committee meetings calendar. • Verify all procurement documents for completeness, reasonableness and compliance with procurement policies and procedures. • Coordinate with Country Office and Africa Region Office management in procurement planning, execution and adherence to policies and procedures. • Perform any other duties as assigned by Management of ChildFund Zambia.

Qualifications and Experience
• Diploma/Degree in Purchase and Supply Chain Management.
• At least minimum 3 years work experience in local procurement of goods and services, preferable with an NGO.
• Must be familiar with Donor procurement policies and procedures.
• Good writing and analytical skills.
• Ability to work independently and under pressure.
• Computer proficiency in general office software applications (i.e. Word, Excel, Outlook).
• Sound judgment and ability to work effectively with others at all levels.
• Firm belief in teamwork, gender equality, participatory approach and sustainable development.
