Driver Coordinator (Zambia)

Hours: Monday to Friday plus alternate Saturday mornings
Accountabilities & responsibility areas
• Ensure driver success through relationship building, effective communication, positive recognition and timely addressing of issues (personal and performance related).
• Assist/coach drivers on time management issues by preparing a rest time flexible plan to assist in avoiding fatigue for drivers on and off the road.
• Hold drivers accountable for quality performance; address non-performance or substandard issues timely as well participating in disciplinary processes.
• Recognize positive performance
• Manage drivers in fulfilling their contractual agreements ( i.e employment contract, 100L balance agreement, drivers conditions) and compliance with company policies and procedures.
• Listen and communicate effectively with other non-driving staff; function as a liaison between the driver and other departments to facilitate problem resolution.
• Responsible for Driver Retention by retaining quality driving professionals.
• Monitor effectively benched drivers and those under probation by allocating tasks, training weekly and tracking daily completion of duties with supervisors responsible.
• Proper accounting for drivers when in Solwezi by updating driver dashboard each morning and sending reports to workshop, hr and operations department on drivers returning from trips and advising their status i.e. bench, disciplinary, leave etc.
• Reviewing all drivers’ information during screening phase of recruitment and interview candidates thereafter to ensure quality drivers are joining the company.
• Monitoring Driver Trip KPI Reports, ensuring all failed Driver KPIs are fully investigated, establishing the route cause of failure, co-ordinating required rectification with: HR (Discipline), Training (Gaps identified), Wksp (Wksp SOPs), Load Master (Safe loading), Admin (Vehicle and driver documentation)and Fleet Manager (Journey management / documentation).
• Conducting driver morning parades, promoting best practice and briefing on areas for improvement during these morning parades.
• Carry out road patrols and suggest establishment of a proper policing strategy to ensure drivers are complying with company values, maintaining a professional image and professional customer interface.
• In conjunction with the load master help to ensure drivers are correctly equipped by carrying out kit checks and holding drivers accountable for any damage and losses.
• In conjunction with Fleet Managers, ensuring drivers are dispatched with the correct documentation and they are satisfied that they have been fully briefed prior to departure.

Key Performance Indicators
• Retention Rate of Drivers: 90%
• Disciplined Drivers: 100%
• Driver Utilization: 90%
• Ensure 90% of drivers are meeting 5/5 score on the driver trip KPI.

Education, Skills and Qualifications
• A minimum of College Diploma in Business/Logistics/HR or any other relevant discipline.
• Ability to operate phone and email communication.
• Computer knowledge and data entry skills necessary to effectively complete job duties.
• Geographical knowledge required in order to determine driver difficulties and bring about solutions.
• Ability to maintain composure and react professionally during periods of stress with somewhat limited information periodically.
• Demonstrate the ability to anticipate and evaluate problems and situations and draw logical conclusions and implement practical solutions.
• Demonstrate effective planning, organizing and multi-tasking skills.

Procurement Officer
Job purpose:

Reporting to the Procurement Manager, the position is responsible for coordinating and initiating purchase orders and procurement of goods and services for the Centre and conducting research to determine procurement of goods and services at competitive prices.

Main duties and responsibilities:
• Prepares annual procurement plans for the Centre.
• Implements procurement plans by initiating purchase orders for submission to prospective suppliers.
• Monitors procurement progress on all planned activities.
• Tracks vendors and suppliers to ensure timely delivery of goods and services.
• Maintains and updates suppliers’ register.
• Reviews purchase requisitions for completeness and accuracy and follow up on discrepancies with the initiating department.
• Collects quotations and prepares comparative analysis.
• Processes Purchases Requisitions and prepares Purchase Orders.
• Receives bid responses as per guidelines and reviews the same.
• Maintains procurement files and records.
• Prepares and processes standard procurement documents.
• Performs any other duties as assigned by the Supervisor.

Qualifications, experience and skills:
• Grade 12 with a minimum of five (5) “O” levels including English and
• Mathematics.
• Minimum of Professional Diploma in Procurement and Supply.
• Three (3) years practical work experience in the field.
• Conversant with Zambian Procurement Laws.
• Must be a fully paid up Member of the Zambia Institute of Purchasing and Supply (ZIPS) with a 2022 Practicing License.
• Must be Computer literate.

Position Description
iCheetah is seeking for a reliable and highly experienced candidate for the position of Transport and Logistics Operator based in Lusaka,Zambia.He/she will work with the Online Management Team and will be responsible for tracking all the movements and violations via the vehicle’s GPS system on a daily basis.

Roles And Responsibilities
• Responsible of intakes and liaising with relevant functions to ensure deliveries match orders.
• Responsible for entering data into spreadsheets from multiple sources, as well as verifying inputs and calculations.
• Providing support in completing paperwork and documentations.
• Carry out clerical work, including typing, proofreading,and editing documents, correspondence and reports for the logistics department or assigned.
• Assist in loading/offloading, sorting ,stocking , packaging merchandise and orders.
• Responsible for updating all internal systems with delivery details on a daily basis.
• If any errors, consult with the Logistics Operations Manager as appropriate.
• Maintain appropriate filling of logistics documents, ensure data correctness to facilitate clearing and provide excellent customer service.
• Liaise with clearing agents and ensures timely availability of documentations.
• Submit regular reports for a continuous overview of supply chain in operations including volumes ,values, outgoing and incoming goods.
• Responsible for monitoring material transported and delivered for timeliness and legality.
• Responsible for preparing shipping documents such as Commercial Invoice, parking lists and shipyard material relievers, for ongoing shipments and projects.
• Responsible for review, verification and reconciliation of shipping documents.
• Support with developing and preparing complex databases, reports and presentation material for the logistics unit.
• Records and retrieves information related to supply/logistics including receiving.

Qualifications
• Completion of Secondary Education(Grade 12) with additional Diploma in Customs Clearing and Forwarding or Diploma in Transport and Logistics.
• Excellent verbal and written communication skills.
• Able to learn fast and adapt to operational needs.
• Highly motivated and organised with a problem solving mind-set.
• Resilience to repetitive tasks.
