JOB PURPOSE:
We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

KEY ACCOUNTABILITIES
• Serves visitors by greeting, welcoming, and directing them appropriately.
• Notifies company personnel of visitor arrival.
• Maintains security and telecommunications system.
• Informs visitors by answering or referring inquiries.
• Directs visitors by maintaining employee and department directories.
• Maintains security by following procedures, monitoring logbook.
• Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
• Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
• Contributes to team effort by accomplishing related results as needed.

EDUACTION & EXPERIENCE
• University/College Diploma is an asset
• Familiarity with answering the phone
• Previous experience with Microsoft Office software is preferred

SHORT TERM STAFF (STS)

THE BANK:

THE POSITION:
The Bank invites suitably qualified persons to apply for the position of (STS) Secretary/Receptionist. This position is based in Lusaka, Zambia and does not attract international terms and conditions.
KEY FUNCTIONS:
• Under the Supervision of the Country Manager, the Secretary/Receptionist will perform the following:
• Prepare and finalize draft project correspondence (letters, faxes, etc.) for experts:
• Transmit project correspondence to the stakeholders concerned by mail, fax and courrier services;
• Prepare DHL dispatches;
• Assist in organizing appointments for various missions of the Bank's project departments; Organize appointments for experts and other country office staff members and update their schedules;
• Prepare information documents for experts on official and special missions;
• Handle protocol matters related to the reception of experts and visitors to the country office: Organize experts' meetings;
• Assist the Country Manager's secretary in coordinating official receptions organized by the Country Manager;
• Organize meetings convened by the Country Manager or CPO with sector experts; attend and draft meeting reports;
• Take notes and draft staff meeting reports, in case of absence of the Country Manager's secretary;
• Draft and monitor correspondence that does not focus on substantive issues;
• Maintain an appropriate archiving system; process the mission reports of experts; Manage the switchboard;
• Manage incoming mail by registering it in DTS and distributing it,
• Enter the missions of experts and other field office staff members in SAP; record the relevant justifications of such missions;
• Prepare Service Entry Sheets (SES);
• Organize signing ceremonies for loan or grant agreements and Memoranda of Understanding (MoUs);
• Organize project seminars/workshops.

COMPETENCIES (skills, experience, and knowledge):
1. Hold a minimum of a bachelor's degree in Administration, Finance, Secretarial Science or in a related field.
2. Have a minimum of four (4) years of relevant work experience.
3. Proof of citizenship or evidence of permanent residency or work authorization in Zambia 4. Good written and oral skills in English or French with a good working knowledge of the other language.
5. Competence in the use of Bank standard software (Word, Excel, PowerPoint, and Access). Knowledge of SAP will be an added advantage.
