Functional Responsibilities:Under the direct supervision of the Procurement Officer, and in accordance with UNOPS policies, procedures and practices, the Procurement Senior Assistant is responsible for performing the following duties:
• Assist the Procurement Officer with managing the logistics component of the supply chain, liaising with and/or coordinating with the client and freight forwarders and transport companies to help facilitate smooth delivery of goods and services;
• Support the issuing of import permit and custom duty exemption documents to the custom clearing agent;
• Assist with preparing delivery notes and any other documents needed for certification purposes;
• Maintain logistics related documents and files;
• Maintain specific database of work flows and keep all working files and records up to date;
• Assist with drafting letters related to logistics and supply chain management for dispatch to clients;
• Prepare goods and services requisitions in order for procurement personnel to initiate procurement processes and issue purchase order in the system;
• Prepare necessary documents to initiate payment processes to suppliers;
• Assist the procurement unit with operational tasks such as delivery & receipt of goods, materials etc;
• Assist with arranging transportation of equipment & materials to the designated location, including loading and unloading and ensure issuance of proper documentation, i.e. delivery notes, packing list, insurance, etc.
• Implement and maintain sound asset management and inventory control system in accordance with UNOPS’ Asset Management policy;
• Liaise with the Regional Office and/or HQ on logistics issues, when required;

Education/Experience/Language requirements:Education:
• Completion of Secondary education is required.
• A professional diploma or Bachelor’s Degree in Business Administration, Commerce, Economics, Procurement, Logistics or equivalent disciplines from an accredited university is desirable and will be accepted in lieu of the respective years of experience.
Experience:
• A minimum of 5 years of experience in logistics and/or procurement is required.
• Basic knowledge of international Logistics and Supply systems would be a significant asset.
• Knowledge of UN rules and regulations, particularly UNOPS procurement procedures is considered an added advantage.
