Job Summary

The Administrative Assistant will provide general office and operational support. The position requires a highly organized, professional, and detail-oriented individual capable of handling confidential business information.

Key Responsibilities

Front Office & Communication Management

  • Receive and attend to clients and visitors professionally
  • Manage incoming and outgoing correspondences
  • Respond to routine inquiries and escalate matters appropriately

Office Administration

  • Maintain organized physical and electronic filing systems
  • Draft general letters, quotations, invoices, and basic reports
  • Prepare meeting agendas, take minutes, and circulate action points
  • Schedule meetings, appointments, and internal calendars
  • Manage office supplies and coordinate service providers

Records & Document Management

  • Maintain company records, contracts, and client files
  • Track document submissions and deadlines
  • Ensure proper archiving of completed projects
  • Manage confidential documentation securely

Operational Support

  • Prepare invoices for approval
  • Follow up on outstanding payments
  • Maintain petty cash records

Qualifications & Requirements

  • Diploma in Business Administration or related field
  • Minimum 2 years’ administrative experience
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • High level of integrity and confidentiality
