Position Overview:

The Depot Assistant will be accountable for physical stock management at the depot level. This includes receiving, storing, organizing, and dispatching stock, maintaining accurate inventory records, and ensuring that the depot environment is clean, safe, and well-managed. The Depot Assistant works closely with the Supply & Inventory team to ensure efficient stock flow to shops and sales teams.

Key Responsibilities:

Inventory Management

  • Receive, check, and offload incoming stock.
  • Ensure accurate recording and documentation of all stock received and dispatched.
  • Organize and maintain proper storage of products to ensure easy retrieval and stock accuracy.
  • Monitor stock levels and report shortages or discrepancies.
  • Conduct routine stock counts and assist in investigation of variances.
  • Ensure all warehouse stock is properly documented in the warehouse data system
  • The Depot Assistant is accountable for the accuracy of physical stock under their control

Stock Dispatch & Loading

  • Prepare and pack orders accurately for delivery to shops and sales teams.
  • Load outgoing stock daily, ensuring correct quantities, proper packaging and accurate documentation.
  • Assist in coordinating stock transfers between warehouse and shops.
  • Ensure safe handling of pellets to prevent damage.
  • Verify customer collection quantities against approved dispatch documentation.

Warehouse Operations & Maintenance

  • Maintain a clean, organized and safe warehouse environment.
  • Ensure all stock is secure and protected from theft, damage and environmental risks.
  • Report on any structural or maintenance issues affecting stock safety.
  • Support the physical arrangement of stock, including labeling and orderly displays within the warehouse.

Documentation & Reporting

  • Update warehouse movement records (receipts, dispatches, adjustments).
  • Assist with generating basic inventory reports.
  • Use digital inventory systems to track stock movements.

Support to Supply Chain Team

  • Assist the Supply and Inventory Officer and Junior Supply Chain Manager with warehouse-related tasks.
  • Coordinate with other departments when they collect or request materials.
  • Support supplier offloading and ensure all delivery documentation is accurate.

Key Performance Indicators (KPI):

  • Inventory Accuracy: Maintain 98–100% accuracy between system records and physical stock. Avoidable losses attributable to depot handling: zero tolerance.
  • Timely Receiving & Dispatch: Complete stock receiving and order dispatch on time
  • Warehouse Cleanliness: Keep warehouse clean, organized, and compliant with safety standards daily.
  • Stock Security & Care: Prevent avoidable losses or damage and report risks immediately.
  • Accurate Documentation: Record all stock movements in the system with 100% accuracy.
  • Team Support & Communication: Provide reliable support to supply chain activities and maintain good communication.
  • Safety Compliance: Follow all warehouse safety rules with zero violations.

Skill Requirements:

  • Basic computer skills (Excel, Word; experience with inventory software is a plus).
  • Ability to lift and move materials as needed.
  • Ability to work independently and as part of a team

Additional Requirements:

  • Diploma in Logistics, Supply Chain Management, Business Administration, or related field.
  • Previous experience in a warehouse, inventory, or retail environment is an added advantage.
  • Previous experience in customer service is an added advantage, as is experience in warehouse, logistics, or stock-handling environments
  • Flexibility to work Saturdays is required
  • Interest in and commitment to environmental sustainability and eco-friendly products.
