Background
We are seeking a detail-oriented and active Dispatch & Loading Specialist (Officer) to oversee warehouse stock staging, yard traffic management, and vehicle loading operations. The successful candidate will ensure accurate stock issuing against official documentation, direct loading staff to prevent product damage, maintain safe physical operations, and prevent stock shrinkage/theft in alignment with company policies and Zambian labor laws.
Key Responsibilities
Order Staging & Documentation Processing
- Receive and verify official Waybills and Material Requisition Forms (MRFs).
- Coordinate directly with section heads and warehouse zones for prompt and accurate stock staging.
Yard Traffic & Vehicle Queue Management
- Monitor real-time site conditions and yard capacity.
- Direct drivers and incoming transport vehicles to enter loading bays in an orderly, organized sequence.
Quality & Quantity Verification
- Inspect staged stock against the Waybill for correct quantities and physical quality before dispatch.
- Conduct joint verifications with clients/drivers and submit documentation to the Warehouse / Operations Supervisor for final sign-off.
Loading & General Worker Supervision
- Organize, assign, and direct General Workers / Loading Staff to carry out safe and efficient vehicle loading.
- Train and guide casual laborers on proper material handling procedures (stacking, securing, lifting) to reduce broken/damaged goods rates.
Housekeeping & Resource Management
- Supervise post-shift cleanup to ensure pallets, strapping belts, push trucks, and handling equipment are properly stored, secured, and inventoried.
Safety, Security & Loss Prevention
- Enforce strict Health, Safety, and Environment (HSE) standards on-site to maintain a zero-accident workplace.
- Continuously monitor dispatch area activities to identify anomalies, eliminate security vulnerabilities, and prevent stock theft or unauthorized movement.
Candidate Qualifications & Requirements
Education:
- Full Grade 12 School Certificate with a minimum of 5 Credits, including Mathematics and English.
- Craft Certificate or Diploma in Logistics & Transport Management, Supply Chain, or equivalent is preferred.
- Membership or registration with ZCILT (Zambia Chartered Institute of Logistics and Transport) or CIPS is an added advantage.
Experience:
- 1–3 years of hands-on experience in warehouse operations, dispatch control, stock counting, or site loading supervision.
Key Competencies & Technical Skills:
- Stock Counting & Verification: Proficient in physical inventory counts, reconciliations, and reading transport documents.
- Team Leadership: Proven ability to manage, direct, and motivate site casual workers and loaders.
- Attention to Detail & Reliability: High standard of personal integrity, honesty, and accountability.
- Safety Awareness: Sound understanding of local industrial safety protocols and basic warehouse security standards.
