About the role
The Document Controller will support the Training Head in developing, organizing, and maintaining all company documentation related to operational processes, Standard Operating Procedures (SOPs), Supplementary Information Files (SIFs), and training materials. The role ensures all documents are properly formatted, version-controlled, updated, and stored in compliance with company standards and regulatory requirements.
The ideal candidate should be highly organized, detail-oriented, proactive, and capable of managing multiple documentation processes while maintaining confidentiality and quality standards.
Key Responsibilities
- Develop, edit, format, and maintain SOPs and process documentation
- Manage and maintain Excel-based Supplementary Information Files (SIFs)
- Implement document control systems including version control, filing, storage, and retrieval
- Ensure all documents meet company quality and formatting standards
- Coordinate document reviews, approvals, and distribution across departments
- Maintain audit trails and ensure compliance with document retention policies
- Support continuous improvement in document management processes
- Prepare periodic and ad-hoc documentation reports for management
Work Environment
- Primarily office-based with occasional site visits
- Willingness to travel when required
- Overtime or standby duties may occasionally be necessary to meet deadlines
Compliance
All duties must be performed in accordance with company policies, procedures, and relevant legislation, including the Occupational Health and Safety Act.
Requirements
- Grade 12 Certificate
- Certificate in Quality Management, Document Control, or Records Management
- Diploma qualification will be an added advantage
- Valid unendorsed Code EB Driver’s License
- Advanced computer skills in MS Office/WPS Office
- Minimum 3 years’ relevant work experience
