1. ROLE IDENTIFICATION
Job Title: HUMAN RESOURCE ASSISTANT
Direct Reports:
2. JOB PURPOSE
The Human Resource Assistant will provide administrative and operational support to the Human Resources department, ensuring effective HR service delivery in line with company policies, Zambian labour laws, and the unique operational requirements of the security industry.
3. KEY RESPONSIBILITIES
- Assist in the recruitment and selection of security guards and support staff
- Coordinate interviews, background checks, and vetting processes
- Prepare appointment letters, contracts, and employee files
- Maintain accurate and up-to-date employee records (personnel files, leave records, contracts)
- Ensure confidentiality of employee information at all times
- Update HR databases and payroll information
- Assist with employee induction and orientation programs
- Coordinate training schedules for guards and staff
- Track training attendance and certifications
- Monitor staff attendance, leave, and absenteeism
- Assist in administering disciplinary procedures in line with company policy and labour laws
- Prepare disciplinary letters and meeting documentation
- Assist in compiling payroll data (attendance, overtime, allowances)
- Support administration of employee benefits and statutory contributions (NAPSA, NHIMA, PAYE)
- Ensure HR practices comply with Zambian labour laws and regulations
- Assist in handling employee queries and grievances
- Support inspections or audits by labour authorities
- Prepare HR reports as required
- Perform any other HR-related duties assigned by the HR Manager

5. QUALIFICATIONS: Minimum
- Grade 12 Certificate with 5 ‘O’ levels with credit or better in Mathematics and English
- Diploma or Degree in Human Resource Management, Business Administration, or a related field
6. EXPERIENCE:
Minimum 1–2 years’ experience in an HR role (experience in a security company is an added advantage)

- High level of integrity and confidentiality
- Ability to work under pressure and meet deadlines
- Proficiency in MS Office applications
- Attention to detail and problem-solving skills
