Responsibilities or duties
Marketing & Event Calendar Management
The incumbent is responsible for the effective planning, coordination, and maintenance of the company’s agricultural marketing and event calendar. This includes ensuring that all marketing activities, demonstrations, field days, exhibitions, and related events are planned sufficiently in advance, accurately captured in a central calendar, and appropriately resourced. The role requires proactive coordination with internal stakeholders and service providers to ensure events are executed smoothly, on time, and without last-minute logistical challenges.
This role requires a structured, process-driven approach to planning, using appropriate tools and systems to ensure visibility, accountability, and forward planning across all marketing activities.
Brand Consistency & Event Set-Up Standards
The role is accountable for ensuring that all marketing events and activations consistently reflect the company’s approved brand standards and professional image. This includes coordinating event set-ups, signage, banners, promotional materials, and displays in line with brand guidelines. The Marketing Services Administrator must ensure a consistent “look and feel” across all events and locations, reinforcing a strong, recognisable, and professional company brand image.
Marketing Collateral Stock Management
The incumbent is responsible for maintaining accurate records and effective control of all marketing collateral, including brochures, banners, display items, and promotional materials. This includes monitoring stock levels, forecasting future requirements based on the marketing and event calendar, and proactively recommending re-orders or replenishment to avoid shortages or emergency procurement. The role also requires minimising waste through effective planning and stock rotation.
The incumbent is expected to manage collateral stock using simple but effective tracking systems, ensuring data accuracy, forward forecasting, and timely decision-making
Social Media Coordination & Enquiry Management
The role is responsible for coordinating the company’s social media channels and ensuring that customer enquiries received via these platforms are monitored and responded to within agreed service timelines. This includes acknowledging enquiries, providing appropriate responses where applicable, and routing technical or sales-related queries to the designated internal stakeholders. The Marketing Services Administrator must track enquiries to ensure they are followed up and resolved, supporting a professional and responsive customer experience.
The role requires disciplined enquiry tracking and follow-through, supported by basic workflow tools or logs to ensure accountability and closure
Sales Support, Reporting & Presentation Coordination
The incumbent provides administrative and coordination support to the sales and marketing teams through the preparation of reports, summaries, and presentations as required. This includes ensuring that information is accurate, well-structured, professionally presented, and delivered within agreed timelines. The role requires responsiveness to sales support requests and close coordination with internal stakeholders to support commercial effectiveness.
Qualifications or requirements (e.g., education, skills)
Qualification:
- Diploma or Bachelor’s Degree in one of the following (or closely related fields): Marketing, Business Administration, Communications, Public Relations, Marketing Management
Experience needed
- 2–4 years’ experience in a marketing support, sales administration, or coordination role, such as: Marketing Administrator, Sales Support Administrator, Marketing Coordinator, Office Administrator with marketing responsibilities
Additional skills:
- Social media
- Graphic design
- Coordinating events, demonstrations, or activations
- Managing calendars or planning schedules
- Supporting sales teams administratively
- Handling customer or enquiry follow-ups
