Position Summary

We are looking for an Office Support Assistant who will be responsible for providing efficient day-to-day operational support across the office. This includes professional driving services, messenger and delivery duties, office cleaning and maintenance, guest service support, and coordination of routine office logistics. The role ensures the office environment is clean, safe, and well-organized, and that staff and guests are adequately supported.

The position reports to the Graduate Trainee – Sales & Administration.

Key Responsibilities

1. Driving & Transport Support

  • Provide timely and safe transportation services for company visitors.
  • Conduct airport pickups and drop-offs, and chauffeur guests as scheduled.

2. Messenger & Delivery Duties

  • Collect and deliver letters, documents, and assorted packages to clients, partners, banks, suppliers, and other institutions.
  • Assist in running office errands as assigned.
  • Ensure all deliveries are recorded and acknowledged where required.

3. Office Cleaning & Maintenance

  • Clean and maintain the office interior and surrounding premises, including routine landscape upkeep such as sweeping outdoor areas, watering plants, trimming small shrubs, clearing walkways, and ensuring the general outdoor environment is tidy, safe, and well-presented to staff and visitors.
  • Manage waste disposal and ensure the cleanliness of common areas (kitchenette, toilets, reception, meeting rooms).
  • Support basic office maintenance tasks (changing bulbs, reporting faults, and minor repairs).

4. Guest Hospitality & Reception Support

  • Welcome and professionally assist office visitors.
  • Serve guests with refreshments and ensure meeting rooms are well prepared.
  • Support small in-office events or meetings with setup, refreshments, and clean up.

5. Staff Lunch Coordination

  • Liaise with the office caterer daily to coordinate staff lunch orders and deliveries.
  • Ensure meals are delivered on time and distributed properly.

6. Office Logistics & General Support

  • Monitor and replenish office consumables (water, beverages, toiletries, cleaning materials).
  • Assist in stocktaking for office supplies.
  • Support photocopying, printing, filing, and basic administrative tasks when necessary.
  • Perform any other similar duties assigned to enhance office operations.

Required Qualifications & Experience

  • Grade 12 Certificate.
  • Valid driver’s license with clean driving record.
  • Minimum 2–3 years’ experience as a driver, messenger, or general office assistant.
  • Experience in hospitality or office support roles is an added advantage.

Key Skills & Attributes

  • Strong interpersonal and customer service skills.
  • Good time management and reliability.
  • Ability to multitask and work with minimal supervision.
  • Good knowledge of local routes and general road safety.
  • Professional grooming and conduct.
  • Trustworthy, honest, and able to handle confidential information.
