Palm Oil Production and Plantation
The Personal Assistant to the General Manager will be responsible for:
- Maintains the diary for the planning and scheduling of appointments and meetings in consultation with the General Manager.
- Keeps confidential information and ensure the documents are secured and circulated accordingly
- Generate draft letters, memoranda, organizes reports and documents or other texts/graphics both of routine and confidential nature for the General Manager’s action. Ensures timely dispatch to intended destinations
- Generate Purchase and Stores Requests for the General Manager’s
- Office and Board Member’s Travel and Accommodation.
- Make and confirm appointments with suitable dates and times for
- relevant stakeholder/individuals wishing to meet the General Manager
- Ensure the General Manager’s Office is always clean and orderly in order to maintain good hygiene standards and image
- Receive and screen telephone calls and visitors to the General
- Manager, directing those that can be attended to by other relevant
- officers.
- Make travel and accommodation arrangements with airlines/travel agents and hotel/lodges, car hire and other arrangements for the General Manager and Board members on business trips both local and abroad.
- Prepare annual budget estimates for the General Manager’s office.
Qualifications
- Grade 12 GCE O’ Level Certificate or equivalent
- Diploma in Secretarial and Office Management Studies from a reputable institution.
- Diploma in Business Administration/Human Resource Management will be an added advantage.
- Professional Membership to the Zambia Institute of Secretaries (ZIS).
Experience
- Five (5) years’ experience of which two (2) must be in have been held in a similar position.
