ST. MAWAGGALI TRADES TRAINING INSTITUTE is looking for a suitably qualified person to fill in the following vacant position:

FULL TIME PROCUREMENT ASSISTANT (1)

REPORTING TO HEAD OF PROCUREMENT SUPPLIES

Responsibilities or duties

  • Preparation and sending of RFQs, soliciting of quotations and identifying available suppliers for requested items
  • Ensuring that requests received from users are clear, confirm any other relevant information from users and seek recommendation
  • Maintain records of all transactions, ensuring that efficient filing system is in place and documents are easily accessible when needed
  • Responsible for preparation of Bid analysis, purchase orders among others and following up invoices and goods received notes
  • Assist with preparation of reports and minutes
  • Assist in reviewing procurement and supply systems
  • Any other duties assigned by the supervisor

Qualifications or requirements (e.g., education, skills)

  • Full Grade 12 certificate with at least 5 O- levels including Mathematics and English
  • Level 4 Diploma ( CIPS UK) or Diploma ( ZIPS)
  • Proficiency in the use of the EGP system will be an added advantage
  • Excellent communication skills
  • Knowledgeable of the Zambia Public Procurement Act No. 8 of 2020
  • High proficiency with Microsoft Office Word, Spreadsheet and Database
  • Ability to work independently

Experience needed

  • A minimum of two years work experience in a procurement role
  • Must be a member of ZIPS
