JOB ADVERT – PRODUCTION ADMINISTRATIVE ASSISTANT

Kamimbi Aqua Feed Limited invites applications from suitably qualified candidates to fill the position of Production Administrative Assistant. The role reports to the Production Manager and will be based at the Kamimbi Aqua Feed factory in Siavonga.

JOB PURPOSE:

The Production Administrative Assistant is responsible for providing administrative, operational, and production support within the fish feed manufacturing plant. The position ensures accurate documentation of production activities, raw material usage, inventory movements, quality records, and production performance data. The role supports efficient production planning, coordination of resources, compliance with quality standards, and achievement of production targets while maintaining proper records required for operational and regulatory compliance.

KEY RESPONSIBILITIES:

  • Maintain accurate daily production records for fish feed manufacturing activities.
  • Capture and update production data including raw material consumption, production output, machine utilization, downtime, and wastage.
  • Prepare daily, weekly, and monthly production reports for management review.
  • Monitor stock levels of key fish feed raw materials.
  • Maintain records of raw material receipts, usage, transfers, and stock balances.
  • Assist in stock counts, inventory reconciliation, and periodic stock audits.
  • Monitor inventory reports and promptly report potential shortages that may affect production schedules.
  • Generate reports on production output, feed conversion efficiency, material usage variances, wastage levels, and production performance indicators.
  • Maintain electronic and physical filing systems for production records and reports.
  • Ensure accuracy and integrity of production-related data entered into company systems.
  • Support production planning by providing accurate operational data and performance information.
  • Maintain records related to quality inspections, feed formulations, batch production records, and laboratory test results.
  • Ensure all production documentation complies with company quality management systems and regulatory requirements.
  • Support implementation of Good Manufacturing Practices (GMP), Hazard Analysis and Critical Control Points (HACCP), and feed safety standards.
  • Assist internal and external auditors by providing required production and quality documentation.
  • Maintain traceability records for all feed batches produced.
  • Promote compliance with occupational health and safety procedures within the production environment.
  • Assist in maintaining records relating to safety inspections, incidents, corrective actions, and training activities.
  • Ensure proper documentation of waste management and environmental compliance activities.
  • Support implementation of company safety policies and procedures.
  • Coordinate with warehouse and dispatch teams regarding production output and delivery schedules.
  • Maintain records of finished feed products dispatched to customers or storage facilities.
  • Assist in tracking packaging material utilization and finished goods inventory.

QUALIFICATIONS, SKILLS, EXPERIENCE & REQUIREMENTS:

  • Full Grade Twelve School Certificate (GCE)
  • Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Operations Management, Production Management, Agribusiness Management, or a related field.
  • Minimum of 2 years' experience in a manufacturing, processing, feed production, FMCG, agribusiness, or industrial production environment.
  • Previous experience in an animal feed or fish feed manufacturing operation will be an added advantage.
  • Knowledge of inventory management, production planning, and manufacturing processes.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Unquestionable integrity.
  • Must uphold the company and professional code of ethics
  • Analytical skills and working with volumes of data.
  • Results must be certified by ZAQA
