Job Summary
The Receptionist will serve as the primary point of contact for guests and visitors, providing professional front-desk, reservations, administrative, and customer service support. The successful candidate must be confident using computers and digital systems and should demonstrate excellent communication, organisation, and interpersonal skills.
Key Responsibilities
- Welcome, receive, and assist guests in a professional and courteous manner.
- Manage guest check-ins, check-outs, room allocations, and reservations.
- Respond to telephone calls, emails, online enquiries, and customer requests.
- Maintain accurate guest records, bookings, payments, and reservation information.
- Prepare invoices, receipts, booking confirmations, and basic administrative reports.
- Use computers and relevant hotel, booking, email, spreadsheet, and office applications effectively.
- Coordinate with housekeeping, kitchen, management, and other departments regarding guest requirements.
- Handle guest complaints or concerns professionally and escalate matters where necessary.
- Maintain the reception area in a clean, organised, and professional condition.
- Receive and record payments and support basic cash-handling and reconciliation activities.
- Provide guests with information regarding lodge facilities, tours, local attractions, transport, and other services.
- Maintain confidentiality of guest and company information.
- Perform other administrative and customer service duties assigned by management.
Qualifications & Experience
- Minimum Grade 12 School Certificate or equivalent.
- Certificate, Diploma, or other relevant qualification in Hospitality, Tourism, Business Administration, Front Office Operations, or a related field will be an advantage.
- Minimum 2–3 years' relevant experience in a receptionist, front-office, customer service, hospitality, or similar role.
- Previous experience working in a lodge, hotel, guesthouse, tourism establishment, or similar environment will be an advantage.
Essential Skills & Competencies
- Strong computer literacy is essential.
- Ability to confidently use Microsoft Word, Excel, email, internet applications, and digital booking/reservation systems.
- Excellent verbal and written communication skills.
- Good customer service and interpersonal skills.
- Strong organisational and record-keeping abilities.
- Ability to multitask and work effectively in a busy hospitality environment.
- Professional appearance, attitude, and telephone etiquette.
- Basic numerical and cash-handling skills.
- High level of integrity, reliability, and attention to detail.
- Ability to work with limited supervision.
Additional Requirements
- Willingness to work shifts, weekends, evenings, and public holidays where required.
- Ability to remain calm and professional when dealing with demanding situations or guests.
- Knowledge of the local tourism and hospitality environment will be an advantage.
