Background

The Zambia Civic Education Association (ZCEA) is a non-governmental, not-for-profit organization committed to promoting active citizenship, democratic governance, and civic awareness among Zambians. Established in 1993, ZCEA has been at the forefront of advocating for children’s rights and fostering civic education across the country. In alignment with its mission to empower and inform citizens, the organization seeks to collaborate with suppliers who can support its various projects and programs during the 2025-2027 period.

To ensure the successful implementation of these initiatives, ZCEA is seeking qualified and reputable suppliers to provide goods and services that will contribute to achieving the organization’s strategic objectives. In this regard, we are inviting applications from established organizations and companies to register as suppliers of goods and services for the 2025-2026 period.

This Expression of Interest (EOI) allows potential suppliers to submit their proposals and be considered for a partnership with ZCEA. We encourage suppliers who are committed to excellence, innovation, and professionalism to apply in the following categories.

• Training facilitation

• Feasibility Studies
• Mid-term evaluation

• Monitoring and Evaluation Services

• Community development research

Category 3. MAINTENANCE AND REPAIR

• Office equipment maintenance
• Air conditioning services and installation
• Motor vehicle maintenance/repairs – (term contracts applicable)
• Supply of tyres, fuels, lubricants, batteries, tubes, fitment, and alignment services
• Plumbing
• Electrical services
• Servicing of gensets/solar systems
• Servicing of Fire Extinguishers

Category 4. MEDIA SERVICES

• Documentation and recording – (photography, filming, translation, video/audio recording, proofreading services)
• Animation and graphic design
• Mobile public address systems
• Communication products and services etc.

Category 5. TRAVEL

• Travel Agency (local and International)

Category 6. CAR HIRE

• Hire of Vehicles to the 10 provinces of Zambia

Category 7. HOSPITALITY SERVICES

• Accommodation/lodging and meals
• Conference facilities and meals
• Outside catering services

Category 8. GENERAL SUPPLIES & SERVICES

• Printing: Graphic design and digital printing
• Advertising
• Insurance
• Security Service
• Corporate Branding

Eligibility Criteria

Interested suppliers must meet the following criteria:

• Be registered and licensed to operate in Zambia. (valid copies of certificate of registration and incorporation, valid ZRA tax registration and tax clearance certification)
• For IT-related goods and services, proof of accreditation
• Demonstrate a proven track record of delivering high-quality goods and services
• Provide competitive pricing and value for money
• Adhere to ethical business practices and ZCEA’s procurement guidelines

Submission Requirements

Applicants should submit the following documents:

1. Company profile (clearly indicating physical address, names and contact numbers and email addresses of key company directors, and official email address)
2. 3 Recent trade references

Submission Instructions

• Clearly label the application “Registration of Suppliers for the period 2025 to 2026.”
• Include the category being applied for (e.g., “Registration of Suppliers for the period 2025 to 2026 – Category 1 – Office Supplies and Equipment”).
• Applications to be submitted by close of business 24th March 2025
• Include the physical and official email address of the company
