Job Summary:
The Underwriting Officer who reports to the Business Development Manager is responsible for supporting and coordinating the underwriting function of Professional Insurance Brokers by assessing insurance risks, obtaining and evaluating quotations from insurers, preparing insurance documentation, processing policy transactions, and ensuring that all underwriting activities are conducted accurately, efficiently, and in accordance with company policies, client requirements, insurer terms, and applicable regulatory requirements.
The position serves as an important link between clients, the brokerage, and insurance companies, ensuring that clients receive appropriate insurance coverage at competitive terms while maintaining accurate records and effective risk management practices.
Key Responsibilities
Underwriting and Risk Assessment
- Assess the completeness and accuracy of information required for underwriting.
- Review previous insurance history, claims experience, risk surveys, and other relevant information.
- Recommend appropriate insurance covers based on identified risks and client requirements.
- Liaise with insurance companies to obtain underwriting terms, conditions, premiums, excesses, warranties, exclusions, and other requirements.
- Assist in recommending the most suitable insurance option based on coverage, price, insurer capacity, terms, and client requirements.
Quotation Management
- Prepare and submit quotation requests to insurance companies within agreed timelines.
- Follow up on outstanding quotations and underwriting requirements.
- Ensure that quotations presented to clients are accurate and clearly explained.
- Ensure all quotations are processed within the company's approved turnaround times.
- Maintain proper records of accepted, declined, and pending quotations.
Policy Processing and Documentation
- Process new insurance policies, renewals, endorsements, cancellations, and policy amendments.
- Prepare cover notes, debit notes, certificates, policy schedules, and other relevant insurance documentation.
- Ensure that policy documentation corresponds with the terms agreed with the client and insurer.
- Verify premiums, commissions, policy periods, sums insured, excesses, and other policy details.
- Maintain accurate electronic and physical underwriting files.
Renewals Management
- Identify policies approaching expiry and initiate renewal processes in advance.
- Obtain updated risk information and renewal instructions from clients.
- Request renewal terms from existing and alternative insurers where appropriate.
- Review renewal terms and compare them with previous policy terms.
- Identify changes in premiums, limits, exclusions, excesses, and other conditions.
- Follow up on outstanding renewal instructions.
Premium and Documentation Reconciliation
- Verify that premiums quoted by insurers correspond with approved terms.
- Liaise with the Finance Department regarding premium invoices and related documentation.
- Assist in following up on outstanding premium payments where required.
- Ensure that policy documentation is consistent with premium records.
- Identify and report discrepancies between quotations, policies, debit notes, and invoices.
- Assist with reconciliation of underwriting records and insurer statements where required.
Reporting
- Prepare and submit periodic underwriting reports to the Business Development Manager, including: new business written, renewals due and completed, outstanding quotations, policies issued, policies pending documentation, endorsements processed, cancellations, premiums and commissions where applicable, outstanding underwriting requirements and insurer turnaround times.
- Any other duties as assigned by the Supervisor
Qualifications:
- Grade 12 certificate
- Diploma or Bachelor’s Degree in Insurance, Risk Management, Business Administration, Finance, Economics or a related field.
- Professional qualification in Insurance, preferably Chartered Insurance Institute (CII) or equivalent.
- Membership with Insurance Institute of Zambia will be an added advantage.
- Training or certification in underwriting, risk management, claims management, or insurance broking will be advantageous.
