A Trainee Program Associate is an entry-level professional who learns the fundamentals of program management by supporting the planning, execution, and evaluation of projects. The role is designed to provide comprehensive training through a structured program, mentorship, and hands-on experience, with the potential for a permanent position upon completion.

The trainee performs essential program, administrative, logistical, and communicative tasks to ensure programs run smoothly. They work closely with senior staff and other departments, which helps build a strong understanding of the organization's initiatives.

Responsibilities or duties

1. Program coordination and support

  • Assists in the planning, implementation, and evaluation of projects.
  • Tracks program progress, manages timelines, and ensures that objectives are met.
  • Coordinates logistics for meetings, events, and training sessions.
  • Supervise field staff
  • Input into Monthly/Quarterly annual Reports
  • Proposals and fundraising initiatives
  • M&E activities
  • Donor Liaison and fund raising pipeline
  • Represent the organisation at important events
  • Finance and Budget oversights and budgeting processes on new proposals
  • Bank Approvals
  • Over sight on statutory obligations
  • Human Resources management and dispute resolutions

2. Research and data management

  • Gathers, compiles, and analyzes M & E data to support program development and evaluation.
  • Maintains program M & E databases and other filing systems.
  • Prepares and formats reports and presentations that summarize program outcomes.

3. Communication and administration

  • Acts as a liaison between team members, departments, and external stakeholders.
  • Drafts and manages program-related communications, such as newsletters and social media updates.
  • Provides administrative support, including scheduling, correspondence, and documentation.

4. Learning and development

  • Participates in formal training sessions, workshops, and rotational assignments.
  • Shadows experienced professionals to gain practical knowledge.
  • Completes regular performance evaluations and demonstrates skill development.

Qualifications or requirements (e.g., education, skills)

Qualifications

  • A bachelor's degree in a relevant field, such as Agriculture, Business Administration, Public Administration, or Social Sciences.
  • Relevant internship, volunteer, or administrative support experience is preferred.

Soft skills

  • Organizational skills: The ability to manage multiple tasks and competing deadlines.
  • Attention to detail: Essential for accuracy in data entry and documentation.
  • Communication: Strong written and verbal skills for effective interaction with stakeholders.
  • Adaptability: The ability to adjust to a fast-paced and evolving work environment.
  • Problem-solving: A proactive mind set for identifying and resolving logistical and administrative issues.
  • Teamwork: The ability to collaborate effectively with diverse teams.

Technical skills
