JOB PURPOSE

The Archives Digitising Assistant will be responsible for scanning and digitally preserving historical records in accordance with archival best practices. The role involves handling fragile and rare materials with care, creating high quality digital images, and ensuring accurate meta data entry to facilitate long-term preservation and access.

2.3.3   KEY RESULT AREAS AND PRINCIPAL ACCOUNTABILITIES
KEY RESULT AREAS PRINCIPAL ACCOUNTABILITIES (MAIN DUTIES) 

Organising Records Ensure records earmarked for scanning are clean, complete, and well labelled  Scanning of Records Operate scanning equipment to create high-resolution digital copies of historical documents, photographs and other archival materials Entry of Meta Data
  Assign accurate file names and descriptive metadata for each scanned item for retrieval purposes. Quality Control Inspect scanned images for clarity, completeness, and colour accuracy. Rescan or adjust as needed to meet quality requirements if need be.
  Maintain logbook Enter into the logbook every file that  has been scanned for purposes of reporting.

Perform other assignments as required 

Job Requirements
  • Grade 12 Certificate 
  • Bachelor’s  Degree in Records Management or Library and Information Science.
  • Must have worked in a busy archives unit  at least for  one (1) year

Skill Specifications:

  • Good communication skills both written and spoken
  • Excellent ICT skills and proficiency with scanning   equipment
  • Familiarity with metadata standards

Compliance

  • Adhere to copyright laws, privacy regulations and archival digitisation protocols
  • Maintain confidentiality of sensitive or restricted information materials
