Role Context

Reporting to the Finance Manager, the role is responsible for carrying out a broad range of financial management and administrative duties for the University, in line with its policies and procedures as well as applicable accounting standards.

Main Responsibilities

  • Internal Controls and Policies
    • Assist in the formulation and implementation of internal controls and policies to comply with legislation and established best practices.
    • Participate in the preparation for the annual audit.
  • Operational Payment Review and Compliance
    • Review payment documents for accuracy and ensures payments are in line with the budget and in compliance with the University’s procurement policies.
  • NU Farm Transactions Management
    • Reconcile farm produce sales, from production to sales revenue deposition
    • Review farm stores records, perform reconciliations, and supervise stock takes
    • Prepare farm project expenditure analysis and perform other farm accounting functions as required.
    • Under periodical farm visits.
  • Financial Operations Support
    • Facilitate the processing of business advances for university staff, ensuring adherence to policies and guidelines.
    • Maintain accurate records of advances issued and monitor their timely settlement.
    • Provide guidance and support to staff members on advance-related queries and procedures.
    • Ensure compliance with set operational payment procedures by the University community.
  • Financial Reporting
    • Assist with the preparation of financial reports, ensuring accuracy and timeliness.
    • Process journal transactions in consultation with the Finance Manager, and perform month and year-end closure processes.
    • Review the institution’s accounting information to identify and resolve inaccuracies. Or imbalances.
  • Statutory Licensing
    • Stay abreast of regulatory requirements pertaining to licensing and permits relevant to the university's operations.
    • Coordinate the application, renewal, and compliance processes for statutory licenses, ensuring timely submissions and adherence to regulations.
    • Liaise with regulatory authorities as necessary to resolve issues and maintain compliance.
  • Compliance and Reporting
    • Ensure compliance with accounting standards, company policies, and regulatory requirements related to Financial and administrative accounting requirements.
    • Assist in the preparation of financial statements, audits, and tax filings by providing accurate and financial accounting.
    • Maintain organized and up-to-date documentation of financial accounting transactions for audit purposes
  • Team Collaboration
    • Collaborate effectively with colleagues within the finance department and other university departments to streamline financial processes and resolve issues.
    • Provide support and assistance to other team members as needed to ensure departmental goals are met
    • Perform other accounting and administrative tasks as assigned from time to time.

Qualifications and Experience

Key Experience Requirements

  • Minimum of two years’ experience in a high activity business or university volume accounting and administration function.

Education Requirements

  • Grade 12 School Certificate
  • Minimum of ACCA Professional level, CIMA Management level, Bachelor’s degree in Accounting or equivalent

Key Competences

  • Strong knowledge of accounting principles, practices, and regulations.
  • Proficiency in accounting software and MS Office applications, particularly Excel
  • Excellent analytical skills with the ability to interpret complex financial data.
  • Effective communication skills with the ability to interact professionally with diverse stakeholders.
  • Exceptional organizational abilities with a keen eye for detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
