Requirements

  • Grade 12 Certificate.
  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Relevant professional certification in administration or executive support will be an added advantage.
  • Equivalent qualification in a related field may be considered.
  • Minimum 5 years’ experience in Business Administration, Office Management, or Public Administration at middle manager level.
  • Fluent in English; other languages are a plus.
  • Proficiency in Word, Excel, PowerPoint, and related tools.

Job Description

  • Manage the Managing Director’s calendar, meetings, appointments, and recurring engagements.
  • Provide high-level administrative and operational support to ensure effective execution of MD priorities.
  • Prepare for meetings, including scheduling, logistics, documentation, and minute-taking where required.
  • Act as a professional representative of the MD and company in internal and external engagements.
  • Maintain strict confidentiality and exercise discretion in handling sensitive information.
  • Plan, track, and follow up on tasks using structured weekly plans and check-ins with management.
  • Coordinate events, board meetings, stakeholder forums, and VIP visits, including logistics and invoicing.
  • Manage travel arrangements, accommodation, and itineraries.
  • Oversee office supplies, inventory, and general office upkeep.
  • Develop and maintain efficient office systems for filing, email, and document management.
