Role Overview for Finance and Grants Officer Jobs in Lusaka

Reporting to the Support Services Manager, the Finance and Grants Officer will manage daily financial transactions and procedures, collaborate closely with the Senior Management Team (SMT) in Zambia, and coordinate with the Regional Finance Specialist as needed. This contract position demands precision, integrity, and proactive financial oversight to ensure compliance with organizational and donor policies.

Key Responsibilities

Financial Accounting: Maintain accurate accounting records, perform monthly bank reconciliations, process payments in compliance with policies, and ensure timely submission of monthly accounting bundles to the HEARO Finance team.

Cash Management: Oversee cash liquidity, conduct cash counts, prepare bi-monthly treasury forecasts, and act as the bank agent for cash collections and deposits.

Budgetary Management: Develop and monitor the annual budget, produce budget follow-ups (BFUs), participate in budget review meetings, and manage cost analyses to prevent overspending.

Grant Management: Support the financial management of donor grants, prepare for financial audits, and ensure timely production and archiving of grant-related documents.

Security and Fraud Prevention: Manage cash security, conduct internal audits, report irregularities promptly, and provide training on financial security measures.

Communication and Training: Provide coaching and guidance on financial procedures and donor compliance, liaise with banks and partners, and participate in donor meetings.

Document Archiving: Ensure proper filing and archiving of all financial documents according to organizational guidelines.

Candidate Requirements

Education: Bachelor’s degree in Accounting, Finance, Management, or related field; MBA or ACCA certification is an advantage.

Experience: Minimum of 2 years’ experience in administration, finance, HR, or logistics, preferably within an INGO environment.

Skills: Strong organizational and planning skills with the ability to manage multiple priorities effectively. Excellent interpersonal and communication skills, with the ability to negotiate and provide constructive feedback. Proven ability to work under pressure while maintaining professionalism and adherence to organizational values.

Desirable: Experience supervising staff and managing donor-funded programs is highly desirable.

Work Environment and Reporting

The Finance and Grants Officer will report directly to the Finance Manager and will be responsible for supervising the Finance Intern. The role involves collaboration with program managers, logistics, and administration teams to ensure compliance with procurement and financial policies. Externally, the officer will engage with suppliers, financial institutions, and tax authorities.
