Our client is looking for a disciplined, proactive, and well-organized Fleet Maintenance & Accident Officer to support the company’s vehicle operations, accident handling, maintenance coordination, and fleet reliability.

The ideal candidate must be able to work both in the office and in the field, follow up matters aggressively, communicate professionally with drivers, workshops, insurers, and internal teams, and ensure that vehicles are returned to operation as quickly and efficiently as possible.

ROLE PURPOSE

The Fleet Maintenance & Accident Officer will be responsible for coordinating vehicle maintenance, accident response, repairs, insurance documentation, workshop follow-ups, breakdown reporting, vehicle inspections, and fleet condition tracking. The role requires a person who is highly organized, practical, firm with drivers, and able to manage multiple vehicle-related issues at the same time.

KEY DUTIES AND RESPONSIBILITIES

  • Coordinate accident response processes, including receiving accident reports, collecting supporting documents, following up police reports, and ensuring timely internal reporting.
  • Liaise with insurers, assessors, garages, workshops, drivers, and management on accident-related matters.
  • Track all accident cases from initial report up to repair completion, insurance decision, excess payment, vehicle release, and redeployment.
  • Coordinate vehicle repairs, breakdown response, routine servicing, inspections, and maintenance follow-ups.
  • Maintain accurate records of vehicle faults, repairs, service history, accident cases, quotations, invoices, garage updates, and job cards.
  • Follow up workshops and mechanics to ensure repairs are completed within agreed timelines.
  • Assist in monitoring vehicle condition, cleanliness, roadworthiness, mileage, tyres, brakes, lights, oil, water, and general mechanical condition.
  • Report recurring mechanical problems, driver negligence, poor vehicle handling, or maintenance abuse.
  • Assist with spare parts sourcing, quotation follow-up, and documentation where required.
  • Support the Fleet Manager in ensuring high vehicle uptime, reduced downtime, proper documentation, and disciplined fleet control.
  • Conduct field visits where required to inspect vehicles, follow up workshops, attend breakdowns, or assist with accident documentation.
  • Prepare regular maintenance, accident, repair, and vehicle status reports.

MINIMUM REQUIREMENTS

  • Minimum of 2 years’ experience in fleet operations, vehicle maintenance coordination, accident handling, insurance claims, garage/workshop follow-up, or a related field.
  • Diploma or Degree in Transport & Logistics, Insurance, Automotive Engineering, Operations Management, Business Administration Or related field.
  • Valid driver’s license is required.
  • Must have practical understanding of vehicle maintenance, repairs, breakdowns, and inspection processes.
  • Experience dealing with insurance claims, police reports, garages, workshops, vehicle inspections, and spare parts follow-ups will be an added advantage.
  • Vehicle maintenance knowledge or certification will be an added advantage.
  • Must be able to work both in the office and in the field.
  • Must have good communication, reporting, follow-up, and record-keeping skills.
  • Must be computer literate and able to prepare reports using basic office tools.
