As part of its continued operations, Pilatus Zambia is seeking a highly organised HR Officer that will support the effective management of human resources within Pilatus Zambia by coordinating HR administration, recruitment, employee records, staff welfare, performance management, and compliance with company policies and Zambian labour requirements.

Key responsibilities:

  • Manage day-to-day HR administration and maintain accurate employee records and personnel files.
  • Support the recruitment and selection process, including preparing job advertisements, screening candidates, arranging interviews, and coordinating onboarding.
  • Prepare employment contracts, offer letters, HR letters, and other employee documentation.
  • Coordinate employee onboarding and ensure new employees receive the necessary information, documentation, and company orientation.
  • Monitor attendance, leave, employee movements, and other HR records.
  • Assist with payroll-related HR information and ensure employee records are kept up to date.
  • Support employee performance management, including probation reviews and performance documentation.
  • Assist management in handling employee relations, grievances, disciplinary matters, and workplace concerns.
  • Ensure HR policies and procedures are communicated and consistently implemented.
  • Maintain confidentiality of employee and company information.
  • Support training, staff development, and employee engagement activities.
  • Ensure HR practices comply with applicable Zambian labour laws and statutory requirements.
  • Prepare HR reports and provide relevant workforce information to management.
  • Liaise with relevant government institutions and service providers on HR and employment matters when required.
  • Assist with general administrative and operational duties within the HR function.

Qualifications & experience:

  • Bachelor’s degree or Diploma in Human Resources Management, Business Administration, or a related field.
  • 2–4 years of relevant HR experience, preferably in a structured or growing organisation.
  • Knowledge of Zambian labour laws and HR practices.
  • Experience with recruitment, employee records, HR administration, and employee relations.
  • Good working knowledge of Microsoft Office, particularly Word and Excel.
  • Strong written and verbal communication skills.
  • High level of confidentiality, integrity, and professionalism.

  • Good interpersonal and communication skills.
  • Attention to detail and accuracy.
  • Ability to handle confidential information appropriately.
  • Problem-solving and conflict-resolution skills.
