Job Summary
The HR Officer serves as the operational backbone of the HR function, with a strong presence in Kapiri Mposhi and direct involvement in supporting border locations. This role is expected to execute core HR processes with accuracy and consistency, including recruitment, on boarding, documentation, compliance, and performance management. The Officer must maintain high standards of record-keeping, ensure coordination between sites, and act as a reliable point of contact for line managers, drivers, and support teams. This role demands initiative, strong coordination skills, and a hands-on approach to resolving day-to-day HR issues.
Responsibilities or duties
- Support workshop and Driver Management with HR Functions
- Coordinate driver recruitment and maintain online applicant records.
- Manage on boarding processes, including orientation scheduling, documentation, and probation monitoring for workshop staff.
- Conduct exit and stay interviews, particularly for drivers and workshop staff.
- Maintain complete and accurate employee records (physical and digital) for new engagements.
- Prepare HR documents including contracts, policy manuals, and payroll inputs for Kapiri workshop.
- Ensure disciplinary records are properly documented and updated in the tracking system.
- Support compliance processes with ZRA, NHIMA, NAPSA, and HELSB.
- Supervise and coordinate HR activities across border posts (Kasumbalesa, Sakania, Kazungula, Nakonde).
- Assist in compiling HR reports and analytic for the Ministry of Labour.
- Liaise with the Driver Trainer to ensure training records are current and filed appropriately.
- Maintaining up-to-date HR documentation and system files.
- Support administrative functions including inventory of office consumables (stationery, supplies), events and accommodation bookings.
- Monitor daily attendance records and ensure Smartsheets or other systems are updated.
- Manage food vendors-related issues, including communication, service feedback, and timely payment follow-ups.
Qualifications or requirements (e.g., education, skills)
- Bachelor’s degree in Human Resources Management or a related field.
- Knowledge of HR policies, procedures, and employment laws.
- Strong organizational and time management skills with the ability to multitask and prioritize.
- Excellent communication skills, both written and verbal.
- Attention to detail and ability to maintain confidentiality.
- Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS (Human Resources Information System) software.
- Ability to work effectively both independently and collaboratively in a team environment.
- Valid Human resource practicing Licence
