Job Summary:

We are seeking a reliable and organised Office Assistant to support daily administrative operations and ensure the smooth running of the office. The ideal candidate will assist with front desk management, document control, basic financial administration, and customer support within a structured work environment.

Key Responsibilities:

Front Desk & Customer Service:

  • Welcome and assist clients and visitors professionally
  • Answer and direct incoming calls promptly
  • Maintain a clean and organised reception area

Office Administration:

  • Ensure the office environment is clean, organised, and presentable
  • Supervise the cleaner and coordinate office maintenance needs
  • Assist in raising purchase orders for approved services and supplies

Financial & Administrative Support:

  • Manage petty cash and perform reconciliations
  • Monitor office supplies and maintain stock levels
  • Maintain accurate records of expenses and purchases

Document Management:

  • Maintain proper filing systems (physical and digital)
  • Ensure secure storage of all documents including client files, agreements, and invoices
  • Support audit and compliance requirements

Loan & Customer Support:

  • Assist with loan application processing and document collection
  • Ensure completeness of loan files before submission
  • Conduct follow-up calls to clients
  • Provide general customer service support

Requirements:

  • Diploma or Certificate in Business Administration or related field
  • Minimum 1–2 years’ experience in a similar role
  • Strong organisational and administrative skills
  • Good communication and interpersonal skills
  • Basic financial handling experience (petty cash)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
