1. ROLE IDENTIFICATION
Job Title: PERSONAL ASSISTANT
Direct Reports:
2. JOB PURPOSE
To provide high-level, confidential, and proactive administrative and operational support to the CEO of Magnum Security. The role ensures smooth coordination of executive activities in a fast-paced security services environment, supporting strategic decision-making and daily operations
3. KEY RESPONSIBILITIES
- Manage the CEO’s daily schedule, appointments, and meetings.
- Coordinate local and international travel arrangements (flights, accommodation, visas, transport).
- Prepare reports, presentations, briefs, and correspondence for the CEO.
- Organize and maintain confidential files, records, and documents.
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Screen and manage incoming calls, emails, and correspondence.
- Draft professional emails, letters, and memos on behalf of the CEO.
- Liaise with government agencies, corporate clients, and security partners where necessary.
- Schedule and coordinate executive meetings, board meetings, and stakeholder engagements.
- Prepare agendas, take minutes, and track action items.
- Support planning and execution of company events, security briefings, and client meetings.
- Assist in tracking key projects and strategic initiatives.
- Conduct research and compile data to support executive decision-making.
- Monitor deadlines and ensure timely follow-up on tasks assigned by the CEO.
- Handle sensitive company and client information with strict confidentiality.

5. QUALIFICATIONS: Minimum
- Diploma OR Bachelor’s degree in Business Administration, Public Administration, or related field.
6. EXPERIENCE: Minimum. 3–5 years’ experience as a Personal Assistant or Executive Assistant.
- ATTRIBUTES & SKILLS
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work under pressure in a dynamic environment.
- Strong attention to detail and problem-solving skills.
