Job Purpose
The Procurement Officer will be responsible for managing the procurement process, from identifying sourcing needs to finalizing contracts. This role involves stakeholders, negotiating with suppliers, and ensuring the timely and cost-effective acquisition of goods and services. The Procurement officer will perform quality standards while optimizing costs and ensuring compliance with procurement policies and regulations.
Key Responsibilities
Working under the supervision of the Country director , the specific responsibilities of the Procurement officer shall be:
- Advise the Accounts Department on all procurement related matters;
- Preparation, implementation and updating of the Institute’s Procurement Plan;
- Ensure the Institute undertakes procurement in line with approved policies and procedures;
- Preparation of Solicitation Documents;
- Conducting the procurement process from solicitation to contract award;
- Production of evaluation reports and other procurement management reports;
- Providing secretarial service to the Procurement Committee;
- In liaison with contract manager, undertake contact monitoring:
- Build and manage relationships with suppliers;
- Conduct market research to identify potential suppliers and evaluate their products or services;
- Negotiate contracts and agreements with suppliers to secure advantageous terms.
- Ensure the organisation is abreast with changes in procurement regulations and alive to best practice
- Maintain accurate records of procurement activities.
Educational Requirements And Experience
- Grade 12 Certificate with five (5) credits including Mathematics and English
- ZIPS Diploma or Degree in Procurement & Supply/CIPS or equivalent
- Member of ZIPS with a valid practicing license
- One (1) years relevant experience
- Knowledge of procurement processes, regulations, and best practices.
- Strong negotiation and communication skills.
- Detail-oriented with excellent organizational and analytical abilities.
- Familiarity with procurement software and tools will be an added advantage
- Ability to work collaboratively with cross-functional teams
