Pilatus Zambia is a Zambian business operating within the Pilatus Group, with a focus on delivering professional and reliable services to its clients. As part of its continued operations, Pilatus Zambia is seeking a Receptionist to be responsible for managing the reception area and providing professional and friendly support to customers, visitors, and staff. The role will serve as the first point of contact for the company while also providing general administrative assistance to the office.

Key responsibilities:

  • Welcome and professionally assist customers, visitors, and guests.
  • Answer, screen, and direct incoming telephone calls.
  • Respond to general enquiries and direct customers to the appropriate department or staff member.
  • Receive and distribute incoming mail, documents, and deliveries.
  • Maintain an organised and professional reception area.
  • Manage visitor records and notify relevant staff when visitors arrive.
  • Schedule and coordinate appointments and meetings where required.
  • Assist with general administrative and clerical duties.
  • Prepare and manage basic correspondence, documents, and records.
  • Assist with filing and maintaining accurate office records.
  • Support customer service activities and ensure enquiries are handled promptly.
  • Assist with coordinating office supplies and other front-office requirements.
  • Support management and other departments with administrative tasks when required.
  • Maintain confidentiality of company and customer information.
  • Perform any other reasonable duties assigned by management.

Qualifications & experience:

  • Grade 12 certificate required; Diploma in Business Administration, Office Administration, or a related field is an advantage.
  • 1–3 years of experience in reception, customer service, administration, or a similar role.
  • Previous experience in the automotive, dealership, hospitality, or service industry will be an advantage.
  • Good working knowledge of Microsoft Office.
  • Good spoken and written English.

  • Excellent communication and interpersonal skills.
  • Friendly, professional, and customer-focused.
  • Good telephone etiquette.
  • Well organised and attentive to detail.
  • Presentable and professional in appearance.
  • Ability to multitask and work in a busy environment.

  • Good computer literacy.
  • Ability to remain calm and professional when dealing with difficult customers or situations.
  • Strong team-player mentality.

Compensation:

The incumbent will receive a competitive salary commensurate with experience.
