JOB POSITION: Receptionist
DEPARTMENT: Front Office / Administration
REPORTS TO: General Manager

POSITION SUMMARY

At ZAMLIGHT MANUFACTURING LIMITED, our receptionist is more than just the first point of contact, they are the heartbeat of our daily operations and the ambassador of our mission to bring smart, affordable solar solutions to every Zambian household. As part of a dynamic, fast-growing team, you’ll play a critical role in ensuring smooth communication, efficient scheduling, and exceptional customer experience while growing your career in a company that values performance, initiative, and impact.

KEY RESPONSIBILITIES

  1. Welcome and attend to clients and visitors with professionalism and warmth.
  2. Answer incoming phone calls efficiently, direct queries appropriately, and maintain a positive brand image over the phone.
  3. Manage the front office, including documentation, filing, and administrative coordination.
  4. Prepare weekly customer follow-up schedules for the sales team and support execution.
  5. Draft letters, quotations, reports, and basic customer order forms accurately and promptly.
  6. Maintain organized digital and paper records of communication, customer data, and order logs.
  7. Monitor and manage stock requests for solar panels, inverters, and batteries in coordination with the sales and logistics team.
  8. Support internal communication and scheduling across departments.
  9. Maintain professionalism and confidentiality in all company operations and correspondence.

QUALIFICATIONS, SKILLS & EXPERIENCE

  1. Full Grade Twelve (12) Certificate.
  2. Diploma in Business Administration, Sales & Marketing, or related fields.
  3. 1 – 2 years’ experience in a receptionist, client-facing, or administrative role is an advantage.
  4. Proficiency in Microsoft Office tools (Word, Excel, Outlook) and general IT/computer literacy.
  5. Strong verbal and written communication skills.
  6. Excellent organizational abilities and attention to detail.
  7. Exceptional interpersonal skills, friendly, dependable, and confident in customer interaction.
  8. Able to prioritize and multitask in a fast-paced team environment.
  9. High level of integrity, professionalism, and emotional intelligence.
  10. Passion for renewable energy and a desire to contribute to a greener Zambia.
