About the Transport and Office Assistant Role

The primary responsibility of this position involves the safe and efficient transportation of company staff, products, and materials. You will ensure timely deliveries while maintaining the company vehicle in excellent condition. Additionally, you will provide essential office support, helping maintain smooth daily operations.

Key Responsibilities

  • Safely transport staff, materials, and products to designated locations, adjusting routes to avoid traffic delays.
  • Assist with loading and unloading office supplies and staff luggage.
  • Maintain the cleanliness and roadworthiness of company vehicles, coordinating with mechanics and insurance providers as needed.
  • Keep accurate records of vehicle usage, maintenance, and any incidents such as tickets or accidents.
  • Ensure compliance with local transportation laws and company policies for all vehicles and drivers.
  • Conduct or arrange regular vehicle inspections to prevent issues from escalating.
  • Greet visitors and direct them appropriately within the office environment.
  • Answer and route phone calls, managing messages efficiently.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies inventory and place orders when necessary.
  • Perform clerical duties including photocopying, scanning, and filing documents.
  • Assist with travel arrangements and accommodation bookings for staff.
  • Provide general administrative support as requested by team members.

Required Skills and Competencies

  • Valid driver’s license with a clean driving record.
  • Good knowledge of Lusaka roads, GPS navigation, and traffic regulations.
  • Strong communication and interpersonal skills.
  • Ability to multitask and prioritize effectively under pressure.
  • Proficiency with basic office equipment such as photocopiers, printers, and computers.
  • Excellent attention to detail and organizational skills.
  • Positive, proactive attitude with the ability to work independently and collaboratively.
