Purpose of the Role

To establish and maintain robust accounting systems for a Small to Medium Business (SME) in Zambia, while ensuring full compliance with all local legal, tax, and statutory requirements set by the Zambia Revenue Authority (ZRA),PACRA, NAPSA, NHIMA, and the Workers’ Compensation Fund (WCFCB).

Key Responsibilities

A. Local Statutory & Tax Compliance (ZRA)

  • Corporate Tax (CIT): Prepare and file quarterly provisional tax returns, ensuring strict adherence to all deadlines.
  • Income Tax: Submit the income tax return before the taxyear end.
  • PAYE (Pay As You Earn): File PAYE returns accurately to avoid penalties.
  • VAT & Withholding Tax (WHT): File VAT and WHT returns accurately to avoid penalties.

B. Payroll & Pensions (NAPSA, NHIMA, WCFCB)

  • NAPSA: Process employer and employee contributions
  • NHIMA: Process employer and employee contributions
  • WCFCB: Remit Worker’s Compensation Fund Board levies as required.

C. Corporate Governance & PACRA

  • Annual Returns: File annual returns with the Patents and Companies Registration Agency (PACRA) by the statutory deadline (within 3 months of financial year end) .
  • Financial Reporting Framework: Prepare financial statements using the correct tier standard as defined by ZICA.

D. Accounting Systems & Internal Controls

  • System Setup: Implement SMB-friendly accounting software (e.g., Fast Accounts, QuickBooks, Xero, or VIP/Micropay) that integrates ZRA Smart Invoice and NHIMA Smart Pay requirements.
  • Bank Reconciliation: Reconcile ZMW bank accounts daily/monthly, ensuring no foreign currency salary breaches.
  • Record Keeping: Maintain statutory records (cash books, ledgers, asset registers) as required by the Companies Act of 2017.

E. Financial Management & Reporting

  • Prepare monthly management accounts (Income Statement, Balance Sheet, Cash Flow) using IFRS for SMEs or ZFRS as applicable.
  • Manage cash flow to ensure sufficient funds for quarterly tax obligations.
  • Liaise with external auditors if required by banking covenants or shareholder agreements.

Required Qualifications & Experience

  • Education: Bachelor’s degree in accounting or finance.
  • Professional Membership: Full or Part qualification in ZICA, ACCA, or CIMA. Membership with the Zambia Institute of Chartered Accountants (ZICA) is highly preferred.
  • Experience: 3–5 years of accounting experience; at least 2 years handling ZRA Smart Returns, NAPSA, and NHIMA in a Zambian SMB environment.
  • Software Experience: Proficiency in Fast Account, VIP, Micropay, or similar payroll systems; experience with ZRA Smart Invoice is an advantage.

Key Competencies

  • Compliance Rigor: Deep understanding of the Zambia Tax Act and Companies Act.
  • Deadline Driven: Ability to manage the specific tax calendar (e.g., knowing the difference between electronic filing deadlines vs. manual filing deadlines).
  • Integrity: High ethical standards in handling cash and statutory deductions.
  • Tech Savvy: Ability to transition a business from manual books to a digital system.
