265 Energy Zambia Limited is the authorized Oryx LPG Super-Dealer for the Lusaka East territory and a provider of Oryx-affiliated solar energy solutions. Operating from our Avondale depot, we distribute LPG cylinders, gas refills, and accessories to a growing network of resellers, B2B accounts, and institutional customers.
We are in an exciting growth phase with ambitious targets. Our operations are anchored on disciplined finance, full statutory and regulatory compliance, and a tightly tracked cylinder fleet. We are looking for a proactive, hands-on Admin & Finance Officer to be the operational and financial backbone of this growth.
The Role
As the Admin & Finance Officer, you will work directly under the Operations Director and alongside the Head of Sales & Marketing. You will not just be sitting in an office; you will be deeply involved in the practical groundwork of our operations. Your role consolidates daily finance and bookkeeping, statutory reporting, stock and cylinder fleet management, logistics, compliance, and tender processing.
You will be supported by Manus AI, an artificial intelligence platform that generates monthly management accounts and KPI dashboards from the data you maintain.
Key Responsibilities
- Finance & Bookkeeping: Manage daily entries in QuickBooks Online, reconcile accounts, process supplier payments, and ensure timely statutory filings (PAYE, NAPSA, NHIMA, VAT, WHT).
- Stock & Fleet Management: Track the entire cylinder fleet, manage accessory inventory, and reconcile goods received against invoices.
- Logistics & Dispatch: Coordinate stock movement, track vehicle utilization, and ensure vehicle compliance.
- Compliance & KYC: Maintain a master compliance register for all reseller sites, conduct monthly audits, and ensure all KYC files are complete and up-to-date.
- Tender Processing: Own the tender pipeline from tracking notices to compiling and submitting applications.
- Reporting: Produce monthly management accounts, variance analysis, and industry data briefs.
Who We Are Looking For
We are seeking a highly disciplined, accountable, and detail-oriented professional who thrives in a fast-paced environment. The ideal candidate must be proactive and hands-on, with a strong focus on execution and practical results.
Qualifications & Experience
- Degree or full diploma in Accounting, Finance, Business Administration, or a closely related field.
- Minimum 3 years of experience in administration, finance, or operations support (preferably in distribution, FMCG, energy, or logistics).
- Demonstrated proficiency in QuickBooks Online and strong Microsoft Excel skills.
- Solid understanding of the Zambian tax regime and statutory filings via ZRA TaxOnline.
- Experience in compiling and submitting tender documents (including ZPPA processes).
- Desirable: ZICA registration/progression, prior LPG/energy sector experience, familiarity with ERB compliance, and ability to speak major Zambian languages.
