About the Role

We are looking for a highly organised, proactive and detail-oriented Administration Assistant to join our team in Lusaka.

The successful candidate will provide day-to-day administrative support to the office while working closely with the Sales Team to ensure that administrative tasks, meetings, documentation and follow-ups are handled efficiently and professionally.

Key Responsibilities

  • Provide general administrative and office support on a day-to-day basis.
  • Assist the Sales Team with administrative tasks and coordination.
  • Schedule and arrange online meetings and appointments.
  • Prepare meeting agendas and relevant documentation where required.
  • Attend meetings, take accurate minutes and circulate them to relevant team members.
  • Track action points from meetings and ensure appropriate follow-ups are completed.
  • Maintain organised electronic and physical filing systems.
  • Prepare, format and manage correspondence, reports, presentations and other documents.
  • Assist with data entry, record keeping and updating internal databases or spreadsheets.
  • Support the preparation and submission of routine administrative documentation.
  • Assist with basic payroll and employee administration.
  • Maintain knowledge and assist with statutory payments and requirements, including PAYE, NAPSA and NHIMA.
  • Liaise with internal departments, clients and external stakeholders when required.
  • Provide general support to management and the wider team as needed.
  • Maintain confidentiality and handle sensitive company and employee information appropriately.

Requirements

  • Previous experience in an administrative, office support or similar role.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Good attention to detail and accuracy.
  • Ability to take clear, concise meeting minutes and manage follow-up actions.
  • Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook/online meeting platforms.
  • Working knowledge of payroll processes and statutory payments, including PAYE, NAPSA and NHIMA, is highly desirable.
  • Ability to work independently while also supporting a busy team.
  • Professional, reliable and able to maintain confidentiality.
  • A proactive approach with the ability to prioritise and manage multiple tasks.
