Job Description
Provide executive, administrative and business management support to the Chief Transformation and Operating Officer (CTOO), while coordinating planning, performance, governance, stakeholder engagement and team activities across the CTOO portfolio.
The role enables effective decision-making, disciplined execution and strong alignment across the CTOO Management Committee and the broader bank.
Executive and administrative support
- Manage the CTOO’s diary, travel, meetings, correspondence and executive commitments.
- Prepare executive briefs, presentations, reports and governance submissions.
- Coordinate Management Committee agendas, meetings, decisions and actions.
- Provide appropriate administrative support to the Management Committee, including travel, financial and people-management requirements.
Business planning and performance
- Coordinate strategy, annual business planning, budgeting, forecasting and workforce planning.
- Track financial, operational, customer, people, risk and delivery performance across the portfolio.
- Coordinate monthly management account reviews and investigate material variances and trends.
- Monitor costs, overtime, expenses, leave compliance and mandatory training.
- Produce clear management reporting and ensure that corrective actions are assigned and completed.
Portfolio, risk and governance coordination
- Maintain oversight of material projects, transformation initiatives and operational commitments.
- Track priorities, milestones, dependencies, benefits, risks and resource constraints.
- Coordinate audit, risk, compliance and governance actions.
- Escalate material concerns and track agreed actions through to resolution.
Vendor and stakeholder management
- Coordinate vendor engagements covering expenditure, service performance and contractual commitments.
- Ensure invoices are reviewed, approved and processed within agreed timelines.
- Facilitate resolution of vendor cost, service and performance issues.
- Coordinate relationships with Retail, Commercial, Corporate and Treasury and with the CIO, Client Experience, Marketing, Finance, Human Capital, Risk, Compliance, Legal, Internal Audit and FirstRand Group.
- Support external engagement with regulators, the banking association, the national payments switch, technology vendors and other strategic service providers.
People and team coordination
- Coordinate quarterly team engagements, leadership sessions, team-building and CSI activities.
- Support leave, succession, talent, capacity and employee-engagement planning and monitoring.
- Track people and culture commitments in partnership with Human Capital and unit leaders.
Measures of success
- Effective delivery of CTOO strategic priorities and commitments.
- Accurate and timely executive, financial and performance reporting.
- Early identification and resolution of performance gaps and financial variances.
- Strong control of cost transformation including SLAs, project costs, overtime, controllable expenses and vendor management.
- Timely closure of audit, risk, compliance and governance actions.
- Compliance with leave, training and people-management requirements.
- Effective vendor and stakeholder relationships.
- Well-coordinated Management Committee and team activities.
- Responsive, accurate and professional executive support.
