About the Role
As Chief of Staff and Assistant to the CEO, you will sit at the centre of a fast-moving, purpose-driven organization, one where decisions matter, timelines are tight, and the standard of work is always high. You will be the second brain for the CEO and the trusted filter.
You will work across multiple departments, interact with senior stakeholders, and handle sensitive information with the highest level of discretion. If you thrive in dynamic, high-stakes environments and are the kind of person who instinctively takes ownership without being told, this role was built for you.
Key Responsibilities
Strategic and Executive Support
- Serve as the CEO's primary point of coordination, managing priorities, follow-ups and decision-making support
- Anticipate the CEO's needs and proactively prepare briefings, talking points, reports and background materials
- Attend meetings with or on behalf of the CEO; capture decisions and ensure they are executed
- Draft and review correspondence, proposals and presentations on behalf of the CEO
- Manage the CEO's calendar, travel arrangements and time commitments effectively
- Act as point of escalation for key issues arising across the business
Organizational and Cross-Departmental Coordination
- Float across departments to gather information, resolve bottlenecks and maintain alignment
- Track strategic projects and key initiatives, holding teams accountable to timelines and deliverables
- Serve as a communication bridge between the CEO's office and the rest of the organization
- Identify inefficiencies or gaps in operations and bring forward practical solutions
- Represent leadership in key meetings and engagements
Information and Records Management
- Maintain accurate, up-to-date records of meetings, decisions, projects and key business information
- Organize and manage confidential files and documentation in a structured and accessible manner
- Ensure that the CEO always has the right information, in the right format, at the right time
Stakeholder and Relationship Management
- Liaise professionally with internal teams, external partners, vendors and government stakeholders as directed
- Represent the CEO's office with maturity, tact and sound judgment at all times
- Build and maintain trust-based relationships across the organization and beyond
Qualifications and Requirements
Education
- Bachelor's degree in Business Administration, Management or a closely related field
- An MBA or other postgraduate qualification is a strong advantage
Experience
- 3 to 5 years of relevant experience in a senior coordination, management or executive support role
- Experience working across multiple business units or departments is highly desirable
- Background in or exposure to the mining or critical minerals industry is a strong advantage
Core and Technical Skills
- Strong written and verbal communication skills in English
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint and Outlook
- Comfortable navigating accounting or ERP platforms such as QuickBooks, Sage or similar systems
- Ability to prepare, format and manage professional documents and reports to a high standard
- Competent in email and calendar management tools
- Familiar with cloud-based collaboration tools such as Google Drive, Dropbox or Microsoft OneDrive
- Basic data entry and spreadsheet management skills
- High attention to detail across all written and numerical output
Personal Attributes
- Exceptional organizational and time-management skills
- High emotional intelligence — reads situations quickly and responds with sound judgment
- Comfortable working independently without close supervision
