EXECUTIVE ASSISTANT
Reporting to: Managing Director
JOB PURPOSE
To provide high-level executive, coordination, reporting, administrative and secretarial support to the Managing Director (MD) and Executive Management by ensuring effective management of schedules, strategic action matrices, executive deliverables, meetings, stakeholder engagements and records.
KEY RESPONSIBILITIES
- Executive Support & Coordination
Manages the MD’s diary, schedules, travel arrangements and priority commitments.
Coordinates and prioritises matters requiring the MD’s attention, ensuring timely follow-up.
Prepares briefs, presentations, reports, speeches and correspondence for the MD.
Maintains a forward-looking schedule of key corporate and stakeholder commitments.
- Strategic Action Matrix & Tracking
Develops and maintains action matrices for strategic activities, Board resolutions and key initiatives.
Tracks agreed actions, responsible officers, deadlines and status.
Prepares consolidated status reports highlighting progress, risks and matters for escalation.
- Stakeholder Engagement Reporting
Prepares reports on the MD’s stakeholder engagements with clients, shareholders, regulators and partners.
Maintains a stakeholder engagement tracker and follows agreed commitments to closure.
Consolidates departmental input into periodic management reports.
- Executive Meeting Secretariat
Schedules Executive Management meetings and coordinates agendas, papers and notices.
Attends meetings and records accurate, timely minutes with clear actions and deadlines.
Maintains an Executive Management action matrix and follows up outstanding actions.
- Office Administration & Records
Coordinates information flow between the MD’s Office, departments and external stakeholders.
Maintains secure, organised filing systems for confidential and executive documents.
Drafts, proofreads and reviews official correspondence and executive documents.
- Communication, Protocol & Governance
Screens and coordinates incoming communications addressed to the MD with discretion.
Serves as key point of contact for visitors, partners and senior officials; coordinates protocol.
Supports governance activities and timely submission of reports to the Board and regulators.
QUALIFICATIONS / CERTIFICATIONS
- Grade 12 School Certificate.
- Degree in Business Administration, Public Administration, Secretarial Studies, Office Management or related field.
- At least 5 years’ relevant experience in executive assistance, executive office administration or corporate secretariat.
- Experience supporting a senior executive, preferably in a corporate, financial services or insurance environment.
KEY TECHNICAL SKILLS & COMPETENCIES
- Excellent organisational, planning, coordination and time-management skills.
- Strong report writing, minute-taking and document preparation skills.
- Strong ability to develop and analyse action matrices, trackers and status reports.
- Proficiency in MS Office Suite and digital collaboration/document-management tools.
- Strong written and verbal communication and stakeholder management skills.
- High level of discretion in handling confidential information.
