Description

To provide efficient executive and administrative support to the Vice Chancellor by coordinating schedules, correspondence, meetings, documentation and follow-up actions while facilitating effective communication with internal and external stakeholders.

Responsibilities

  • Provide support for all matters relating to business management and administration of the Vice Chancellor’s Office.
  • Manage VC’s diary, correspondence, Board/Council papers, Senate minutes
  • Provide a wide range of high-level, complex and confidential Office administration and support to the Vice Chancellor.
  • Represent the Vice Chancellor in a professional manner at different fora and meetings.
  • Manage all communication to and from the Vice Chancellor’s office.
  • Manage all documents in the Vice Chancellor’s office.
  • Handle all travel arrangements for the Vice Chancellor.
  • Be the custodian of all Memoranda of Understanding that the University has with different cooperating partners.
  • Monitor progress of actions assigned to the Vice Chancellor, ensuring that they are followed up and deadlines are met.
  • Organize VIP visits to the university and outside by planning appropriate meeting schedules, briefing visitors and internal colleagues to ensure that visitors are appropriately hosted.

Requirements

  • Bachelor’s Degree in Public Administration, Office Management, Business Administration, Management Studies, Secretarial studies or related field.
  • A Master’s degree will be an added advantage.
  • Five (5) years relevant professional experience at least two (2) years supporting a CEO/Vice-Chancellor/Executive Director at a reputable institution.
  • Applicant must be between 28 and 42 years for age and demonstrate a high level of maturity.
  • Knowledge and experience with a variety of computer application packages.
  • Membership of a relevant professional body will be an added advantage.

The candidates must have their qualifications certified by the Zambia Qualifications Authority (ZAQA).
