JOB ADVERT – FLEET AND LOGISTICS MANAGER (1)

Arm Secure Limited invites applications from suitably qualified and experienced candidates to fill the position of Fleet and Logistics Manager. The role reports directly to the Managing Director and will be based in Lusaka.

Job Purpose

To provide strategic leadership and oversight of the Company's fleet and logistics operations by ensuring all vehicles and transport assets are properly maintained, roadworthy, secure, cost-effective, and readily available to support business operations. The role is responsible for strengthening fleet controls, improving accountability, reducing operational losses, and ensuring efficient management of transport resources and logistics activities.

Key Responsibilities

Fleet Management and Asset Control

  • Develop and implement effective fleet management systems, policies, and procedures.
  • Ensure all company vehicles are roadworthy, compliant, insured, licensed, and fit for operational requirements at all times.
  • Establish and maintain preventive maintenance schedules for all fleet assets.
  • Monitor vehicle condition, utilization, downtime, and performance to maximize operational efficiency.
  • Conduct regular vehicle inspections and audits to ensure accountability and asset protection.
  • Investigate and address misuse, negligence, fraud, fuel theft, unauthorized vehicle usage, and other forms of asset abuse.
  • Maintain accurate records of vehicle ownership, insurance, licenses, repairs, servicing, and inspections.

Maintenance and Workshop Oversight

  • Coordinate and supervise all vehicle servicing, repairs, and maintenance activities.
  • Ensure timely diagnosis and resolution of mechanical faults to minimize downtime.
  • Monitor the quality and cost-effectiveness of repairs carried out by internal or external service providers.
  • Recommend replacement, disposal, or acquisition of vehicles based on operational needs and lifecycle assessments.

Logistics Management

  • Coordinate transportation and logistics activities to support business operations.
  • Ensure efficient movement and delivery of company equipment, materials, and supplies.
  • Maintain effective inventory and logistics records.
  • Ensure proper storage, handling, and accountability of company assets and equipment.

Fuel Management and Cost Control

  • Implement strict fuel management and monitoring systems.
  • Analyze fuel consumption trends and investigate variances.
  • Monitor fleet operating costs and identify opportunities for cost reduction and operational efficiency.
  • Prepare and manage fleet and logistics budgets.

Driver Management and Compliance

  • Supervise drivers and transport personnel to ensure high standards of performance and professionalism.
  • Monitor driver behavior, vehicle care, and compliance with company policies.
  • Ensure all driver licenses, permits, and statutory requirements remain valid and up to date.
  • Conduct regular safety briefings and defensive driving training.

Risk Management, Compliance and Safety

  • Ensure compliance with road traffic regulations, company policies, and statutory requirements.
  • Investigate vehicle accidents, incidents, and losses and implement corrective actions.
  • Develop and enforce fleet risk management and vehicle security measures.
  • Promote a culture of safety, accountability, and operational discipline.

Reporting and Performance Monitoring

  • Prepare weekly and monthly fleet performance reports.
  • Provide management with accurate information on vehicle availability, maintenance costs, fuel consumption, utilization, and operational efficiencies.
  • Develop and monitor key fleet performance indicators.

Confidentiality and Integrity

  • Maintain strict confidentiality regarding company operations, assets, and logistics information.
  • Promote ethical conduct, transparency, and accountability in all fleet and logistics activities.
  • Safeguard company assets against misuse, theft, fraud, and wastage.

Qualifications and Experience

  • Degree or Diploma in Logistics, Transport Management, Fleet Management, Mechanical Engineering, Business Administration, or a related field.
  • Minimum of five (5) years' experience in fleet, transport, logistics, or asset management, with at least three (3) years in a supervisory or management role.
  • Proven experience in managing large fleets and implementing fleet control systems.
  • Strong knowledge of vehicle maintenance practices, transport regulations, and fleet performance management.
  • Demonstrated ability to manage costs, improve efficiencies, and strengthen accountability.
  • High levels of integrity, professionalism, and analytical ability.
  • Proficiency in Microsoft Office and fleet management systems.
