About the Role: Front Office Executive Position
As a Front Office Executive at INFRATEL, you will be the first point of contact for clients, visitors, and staff, providing exceptional customer service and administrative support. This full-time position requires a proactive individual capable of managing multiple responsibilities efficiently while maintaining a welcoming and professional reception area.
Key Responsibilities
- Receive, register, and dispatch all incoming and outgoing correspondence promptly.
- Attend to clients, visitors, and respond to customer queries and complaints with professionalism.
- Maintain an organized, presentable, and professional reception area at all times.
- Answer and redirect incoming telephone calls efficiently.
- Maintain systematic records and facilitate smooth document circulation within the office.
- Provide general administrative support to various departments as needed.
- Schedule meetings, interviews, and appointments to optimize office workflow.
- Monitor office supplies and ensure adequate stock levels are maintained.
- Assist with hotel and flight bookings for staff and visitors.
- Contribute to the development of performance targets and support performance management initiatives.
Minimum Qualifications and Experience
- Full Grade 12 Certificate with a minimum of five O Levels.
- Diploma in Front Office Management or a related field is required.
- At least two years of relevant experience in a similar front office role, preferably within a corporate setting.
Essential Skills and Competencies
- Excellent customer service skills and telephone etiquette.
- Proficient computer skills, including common office software.
- Strong verbal and written communication abilities.
- Effective listening and interpersonal skills to engage with diverse stakeholders.
- Ability to manage time efficiently and multitask in a fast-paced environment.
- Customer-focused with a results-oriented approach.
- Capability to work well under pressure and adapt to changing priorities.
- Demonstrated integrity, resilience, and a team-oriented mindset.
- Attention to detail and commitment to quality in all tasks.
