Job Summary
The HR Supervisor is responsible for supervising and coordinating all Human Resource functions with a strong focus on recruitment and talent acquisition while ensuring effective management of employee relations, HR administration, compliance, performance management, and staff development. The role ensures efficient HR service delivery, proper implementation of company policies, workforce planning, and continuous support of organizational objectives through people management and operational excellence.
Specific Duties and Responsibilities
Lead and supervise the full recruitment and selection process including manpower planning, job advertising, sourcing, screening, interviewing, shortlisting, and onboarding of employees.
Develop and implement effective recruitment strategies to attract qualified candidates within required timelines.
Coordinate with departmental managers to understand staffing needs and ensure timely recruitment support.
Maintain and update candidate databases, recruitment trackers, and hiring reports.
Conduct reference checks, background verifications, and support employment documentation processes.
Supervise onboarding and orientation processes for new employees to ensure smooth integration into the organization.
Maintain and update employee records, HR databases, contracts, and confidential personnel files.
Ensure compliance with labor laws, company policies, and HR procedures.
Monitor employee attendance, leave management, overtime records, and disciplinary processes.
Support payroll preparation through accurate HR data verification and reporting.
Handle employee relations matters including grievances, conflict resolution, disciplinary procedures, and employee engagement initiatives.
Coordinate staff performance management activities including appraisals, performance monitoring, and development planning.
Identify training needs and coordinate staff learning and development programs.
Prepare monthly HR reports and statistical data for management review and decision-making.
Support implementation of HR policies, procedures, and continuous improvement initiatives.
Coordinate employee confirmations, transfers, promotions, and contract renewals.
Ensure proper administration of statutory compliance requirements including employee documentation and government-related HR processes.
Participate in audits, inspections, and compliance reviews related to HR operations.
Supervise junior HR staff and ensure effective execution of assigned duties.
Maintain professionalism, confidentiality, and ethical HR practices at all times.
Perform any additional duties assigned by management in line with operational requirements.
Qualifications
Bachelor’s degree in human resource management, Business Administration, Public Administration, or a related field.
Minimum of 3–5 years’ experience in Human Resources with strong recruitment and talent acquisition experience.
Membership with the Zambia Institute of Human Resource Management (ZIHRM) is an added advantage.
Strong understanding of recruitment processes, labor laws, and HR operations.
Excellent communication, interpersonal, and leadership skills.
Strong organizational and problem-solving abilities.
Proficiency in Microsoft Office applications and HR systems.
Ability to work under pressure and manage multiple priorities effectively
