Job Purpose

The Night Auditor is responsible for auditing, balancing, and consolidating departmental ledger accounts and pre-lists, preparing hotel operating reports, and performing overnight Front Office operations.

The role may operate the switchboard, answer and direct incoming calls, and handle telephonic guest enquiries during shift hours.

The Night Auditor supports guest comfort, revenue accuracy, front office administration, and the smooth handover of overnight activity to the morning team.

Duties and Responsibilities

Night Audit and End-of-Day Close

  • Perform the night audit and end-of-day close in accordance with hotel procedures.
  • Post room charges and room taxes to guest accounts, including guest transactions not posted during the day.
  • Post charges to guest accounts that have not been posted or were incurred during the night audit shift.
  • Transfer charges and deposits to master accounts where applicable.

Revenue, Cash and Credit Card Balancing

  • Process guest charge vouchers and credit card vouchers.
  • Balance revenue, cash, and credit card transactions.
  • Check that all charges are assigned to the appropriate departments.
  • Verify that all transactions performed at the Front Desk are supported by documentary evidence and signatures where required, and that they have been correctly posted and allocated into the system.

Reports and Records

  • Prepare occupancy and management reports.
  • Complete required Front Office administration and reporting accurately.
  • Maintain guest registration, correspondence, records, and supporting documentation in accordance with hotel requirements.

Overnight Front Office and Guest Service

  • Perform overnight Front Office operations and assist guests professionally during the night shift.
  • Operate the switchboard where required, answer and direct incoming calls, and handle telephonic guest enquiries during shift hours.
  • Act as the overnight operational contact for guest service and operational coordination, escalating matters to the Front Office Supervisor, Duty Manager, Security, or Management where required.
  • Ensure the comfort and well-being of guests in accordance with agreed performance standards.

Handover and Operational Control

  • Ensure important guest requests, operational issues, discrepancies, and incidents from the night shift are properly handed over to the morning team.
  • Report any unresolved guest, accounting, security, maintenance, or operational concerns before the end of the shift.

Job Specification

Qualifications and Experience

  • Diploma in Hospitality, Accounting, or Business.
  • Minimum 2 years’ Front Office experience.
  • Ability to operate a computer and enter data on a keyboard.
  • Ability to operate the Property Management System must be achieved within 2 months.

Core Competencies

  • Literacy: Must be able to read and write in order to complete Front Office administration and reporting and deal with guest registration, correspondence, and records.
  • Policy comprehension: Must be able to comprehend written policy instructions and operating manuals.
  • Expertise: Must be able to perform advanced accounting and mathematical calculations for Front Office statistical reports, guest folios, acceptable payment forms, rates, and discounts.
  • Language: Must be able to communicate verbally in English with guests and management.
  • Physical ability: Must be able to spend lengthy periods of time standing behind a desk and be physically fit to respond to guests requiring assistance in an emergency situation.
