About the Office Administrator Role
The Office Administrator will report directly to the Accountant and play a key role in ensuring the smooth operation of the office and front desk. This on-site role requires a proactive individual who can manage multiple administrative functions efficiently and with great attention to detail.
Responsibilities or duties
- Manage switchboard and reception duties, providing excellent front-desk service
- Schedule appointments, meetings, and conferences
- Coordinate deliveries, office collections, and courier services
- Administer petty cash and perform regular reconciliations
- Coordinate month-end vendor statement reconciliation
- Administer company operating tools including vehicles, expenses, fuel, and business phones
- Obtain and manage vendor quotations
- Assist with accounting tasks and prepare purchase orders
- Manage office supply procurement
- Conduct asset verification, tracking, tagging, and assessment of worthiness
- Support sales invoicing processes
Qualifications or requirements (e.g., education, skills)
- Strong understanding of payment procedures and financial processes
- Proficiency in Microsoft Office applications, email, and internet usage
- Experience with SAP or similar Enterprise Resource Planning (ERP) systems is advantageous
- Exceptional communication skills with fluency in written and spoken English
- Highly organized with a keen eye for detail and accuracy
- Proactive, solution-oriented mindset with strong problem-solving abilities
- Reliable, punctual, and able to work independently
- Ability to perform reconciliations and data analytics
- Strong interpersonal skills and leadership potential
- Commitment to upholding Yara’s code of ethics and corporate governance
Experience needed
At least two years of relevant experience in a similar administrative role
