City University of Science and Technology invites applications from qualified, professional, and highly organized individuals to fill the position of Secretary in the Office of the Vice Chancellor.
The successful candidate will provide high-level administrative and secretarial support to the Office of the Vice Chancellor and ensure the efficient coordination of official duties and communications.
Qualifications or requirements (e.g., education, skills)
Minimum Qualifications
1. Diploma in Secretarial Studies, Office Administration, Business Administration, or a related field.
2. Additional certification in Office Management or Executive Secretarial Studies will be an added advantage.
Experience needed
Experience
Minimum of two (2) years proven experience in office administration, executive secretarial work, or a similar role.
Required Skills and Competencies
1. Excellent written and verbal communication skills.
2. Strong organizational and time management abilities.
3. Proficiency in Microsoft Word, Excel, PowerPoint, and email management.
4. Ability to handle confidential information with integrity and discretion.
5. Strong minute-taking and report-writing skills.
6. Professional telephone etiquette and customer service skills.
7. Ability to coordinate meetings, appointments, and official correspondence.
Responsibilities or duties
Key Responsibilities
1. Provide administrative and secretarial support to the Vice Chancellor.
2. Manage the Vice Chancellor’s schedule, meetings, and appointments.
3. Prepare official correspondence, reports, and presentations.
4. Record and prepare minutes during meetings when required.
5. Handle incoming calls, emails, and official visitors professionally.
6. Maintain confidential records and documentation of the office.
7. Coordinate internal and external communication on behalf of the Vice Chancellor.
