Responsibilities or duties

1. Data Entry & Management

  • Capture and update daily production data, raw material usage, utilities consumption, quality control test results, and inventory levels into SAP and other designated systems.
  • Ensure completeness, accuracy, and traceability of all data entries.
  • Maintain electronic and hardcopy records of data entries, reports, and supporting documentation.

2. Data Verification & Reporting

  • Validate input data for accuracy and reconcile against physical stock, process log sheets, and lab reports.
  • Generate and distribute daily, weekly, and monthly production, quality, downtime, and inventory reports.
  • Support process and financial audits by providing accurate documentation.

3. Stock Control & Tracking

  • Monitor stock levels of chemicals, raw materials, spare parts, and by-products (spent clay, PFAD, soap stock, ETP sludge).
  • Record stock movements in SAP (receipts, issues, returns, adjustments).
  • Liaise with procurement, finance, and logistics for timely replenishment and dispatch.
  • Verify delivery documents and raise Non-Conformance Reports (NCRs) for stock discrepancies within 24 hours.

4. Compliance & Systems Support

  • Ensure all data entry, stock handling, and reporting comply with Safety, Health, Environment, Risk, Quality, and Food Safety requirements.
  • Assist in maintaining and updating refinery data management systems SAP, Excel trackers.
  • Support continuous improvement initiatives in data accuracy, stock reconciliation, and reporting systems.

5. Communication & Collaboration

  • Coordinate with production, laboratory, engineering, procurement, finance, EHS, and tank farm/ETP teams to ensure alignment of records.
  • Escalate discrepancies, anomalies, or delays to relevant managers.

Qualifications or requirements (e.g., education, skills)

SKILLS & QUALIFICATIONS

Education

  • Diploma in Engineering, IT, or related field (advantageous).
  • Graduate in Chemical/Electrical/Mechanical Engineering is an added advantage for technical understanding.

Skills

  • Strong data entry accuracy and proficiency in MS Excel and ERP systems.
  • Knowledge of production processes, stock flow, and inventory reconciliation.
  • Report generation and record-keeping skills.
  • Analytical thinking and problem-solving ability.
  • Effective written and verbal communication.

Competencies

  • High attention to detail and methodical approach.
  • Integrity and reliability in handling sensitive data.
  • Tolerance for routine and repetitive tasks.
  • Safety conscious and compliance-oriented.
  • Physically fit to handle site documentation and occasional stock checks.

Experience needed

Experience
