Okavango Foods Limited is a growing food manufacturing and catering company based in Lusaka. The company produces processed meats, pastries and catering products for retail, corporate and institutional customers.
Job Purpose
The Stores Officer will be responsible for controlling the receipt, storage, issue, transfer and reconciliation of raw materials, packaging materials and finished products.
The role requires strong attention to detail, accurate record-keeping, proper stock rotation, good hygiene standards and strict control of all stock movements.
Key Responsibilities
Inventory Control
- Record all stock receipts, issues, returns, transfers, wastage and approved adjustments accurately and on time.
- Maintain accurate stock records in the company’s ERP system.
- Conduct regular cycle counts and participate in full physical stocktakes.
- Reconcile physical stock against system records and report variances.
- Monitor minimum stock levels and raise timely replenishment alerts.
- Track expiring, slow-moving, damaged and obsolete stock.
Receiving and Documentation
- Receive goods against approved purchase orders and delivery documents.
- Check quantities, batch numbers, expiry dates, packaging condition and temperatures where applicable.
- Prepare and maintain proper goods received records.
- Report shortages, over-deliveries, damaged goods and quality concerns immediately.
Food Safety and Traceability
- Apply FIFO and FEFO stock rotation principles at all times.
- Maintain batch, lot and expiry records for traceability.
- Quarantine damaged, expired, rejected or nonconforming stock.
- Maintain cold-room and freezer temperature records where applicable.
- Ensure proper separation of raw materials, finished products, packaging and chemicals.
- Keep stores clean, organised and audit-ready.
Stock Security and Issuing
- Issue materials only against approved documentation.
- Prevent unauthorised stock movement, access or usage.
- Support production teams by ensuring materials are issued on time.
- Work closely with production, procurement, quality assurance and accounts.
- Maintain a safe, clean and well-organised stores environment.
Minimum Qualifications
- Full Grade 12 Certificate.
- Diploma in Supply Chain Management, Purchasing and Supply, Logistics, Inventory Management, Business Administration, Food Science or a related field.
- At least two years’ experience in stores, warehousing or inventory control.
- Experience in food manufacturing, FMCG, hospitality or catering will be an added advantage.
- Practical experience using ERP systems and Microsoft Excel.
- Experience with ERPNext will be an added advantage.
Required Skills and Competencies
- Strong inventory and stock control skills.
- Good attention to detail.
- Ability to work with perishable goods and expiry-date controls.
- Understanding of FIFO, FEFO, batch tracking and traceability.
- Good record-keeping and reporting skills.
- Ability to investigate stock discrepancies.
- High level of integrity and accountability.
- Ability to work under pressure and support production deadlines.
- Good communication and coordination skills.
